Position Overview:
As a member of the Export Documentation COE, the Documentation Specialist is responsible for preparation and management of documentation related to exports. The Documentation Specialist will ensure compliance with international trade regulations, Johnson Controls’ policies, and customer requirements. This role involves coordinating with internal departments, freight forwarders, customs authorities, and customers to facilitate the smooth export of goods.
Key Responsibilities:

Prepare essential export documentation, such as commercial invoices, packing lists, and other required documents.

Verify product classifications, incoterms, and export licensing requirements.

Submit EEI (Electronic Export Information) filing in accordance with U.S. export regulations.

Ensure compliance with applicable international shipping regulations and standards.

Maintain accurate records of all export transactions, including EEI filings, approvals, and any related correspondence.

Update internal system with export transaction details.

Perform periodic audits on export files to ensure accuracy.

Communicate with customer service, internal departments and other required parties to ensure timely delivery of all necessary documents, and status updates as requested from departure to arrival of goods.

Manage and resolve any discrepancies related to the shipments, ensuring prompt and effective solutions.

Maintain up-to-date knowledge of all changes in international law, customs regulation, and export compliance requirements.
Required:

Bachelor’s degree or equivalent experience
-
Minimum of 2 years related experience
-
Excellent communication, interpersonal and organizational skills.

Proactive, with a sense of urgency

Problem-solving skills

Customs knowledge (classification, import/ export process, customs law, and rules)

Experience with ERP/MRP

Proficient with Microsoft Office Suite or related software

Ability to work effectively with minimal supervision while being a collaborative team player.
Preferred:
Experience with ERP systems or similar platforms, Trade Automation a plus.
