Job Description

We are seeking a highly organized and detail-oriented Document Control Engineer to manage and oversee the document control process within our engineering projects. This role will be responsible for the effective handling of all project-related documents, ensuring accuracy, compliance, and version control. The ideal candidate will have experience working in an engineering environment and be able to coordinate with project teams, vendors, and clients to ensure that engineering documents are stored, retrieved, and distributed correctly. The Document Control Engineer will support the delivery of projects by ensuring the timely availability of accurate documentation in accordance with regulatory requirements and industry standards.

Key Responsibilities:

  1. Document Management & Control:
    • Oversee the receipt, organization, and distribution of engineering documents (e.g., drawings, specifications, contracts, calculations, reports, and manuals).
    • Ensure accurate and consistent document numbering, revision tracking, and proper indexing.
    • Establish and maintain document control procedures to ensure all documents are processed in compliance with internal standards and project requirements.
    • Manage and track project document revisions, ensuring the latest versions are easily accessible to all stakeholders.
  2. Collaboration with Engineering and Project Teams:
    • Work closely with engineering, procurement, construction, and project management teams to ensure documents are submitted, reviewed, and approved according to project timelines.
    • Act as a liaison between internal teams and external contractors, suppliers, and clients to ensure timely and accurate document exchange.
    • Coordinate the approval, release, and distribution of project documents to all stakeholders, ensuring that the proper document control processes are followed.
  3. Version Control & Document Tracking:
    • Implement and monitor version control systems for engineering documents, ensuring all revisions are tracked and documented in the project’s document management system.
    • Ensure that only the latest approved versions of documents are in circulation and that outdated or superseded documents are archived appropriately.
    • Maintain an up-to-date record of document statuses (e.g., draft, in review, approved, or archived) and track key milestones related to document submission and approval.
  4. Compliance and Quality Control:
    • Ensure that all documents comply with legal, regulatory, and quality control standards applicable to the engineering industry.
    • Conduct regular audits and quality checks on documents to verify accuracy, completeness, and compliance with relevant standards.
    • Ensure that all project documentation is correctly archived for future reference, audits, or compliance inspections.
  5. Document Storage & Retrieval:
    • Manage and maintain electronic document management systems (EDMS) and physical document archives, ensuring they are organized, secure, and easily accessible.
    • Implement a robust filing system for both electronic and paper-based documents, ensuring easy retrieval and minimizing the risk of document loss or misplacement.
    • Provide support in document retrieval for both internal and external stakeholders, ensuring timely access to required documentation.
  6. System Administration & Process Improvement:
    • Administer and optimize document management software (e.g., Aconex, Procore, SharePoint, etc.) to improve workflow efficiency and document accessibility.
    • Develop and maintain detailed documentation and procedures for document control processes, ensuring consistency and adherence to best practices across all projects.
    • Provide training and support to staff on document control systems, tools, and processes to ensure proper utilization and adherence to document management protocols.
  7. Reporting & Documentation Status Monitoring:
    • Provide regular status reports on document control activities, such as document submissions, approvals, revisions, and outstanding actions.
    • Assist in tracking and reporting the progress of document review cycles and approvals, ensuring documents are processed within project timelines.
    • Monitor and report on the overall health of the project document control process, identifying areas for improvement or potential risks.

Qualifications

Qualifications and Skills:

  • Proven experience in document control or document management, preferably in an engineering, construction, or technical environment.
  • Strong knowledge of document control processes, standards, and best practices, particularly in the context of engineering projects.
  • Proficiency in document management systems (e.g., Aconex, Procore, SharePoint, or similar platforms).
  • Familiarity with engineering documentation, including drawings, specifications, reports, and technical manuals.
  • Excellent organizational skills with a keen eye for detail and the ability to maintain large volumes of documents in an organized and efficient manner.
  • Ability to manage multiple tasks simultaneously and work effectively in a fast-paced, deadline-driven environment.
  • Strong communication skills, with the ability to collaborate across multiple teams and stakeholders, both internal and external.
  • Knowledge of industry standards and regulatory requirements for document control (e.g., ISO 9001, engineering standards).
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with version control and document tracking systems.
  • High school diploma or equivalent required; a degree in Engineering, Project Management, Business Administration, or a related field is preferred.
