ESSENTIAL DUTIES AND RESPONSIBILITIES

Management of Centralized Services

  • Responsible for managing the processing and administration of all Service Orders, Service Billing and Service Level Agreements for all Arbon districts in North America.  This includes managing customer requirement dates and factory promise dates and managing communication between customers, factory, and receiving districts, ensuring customer expectations are met and exceeded. 
  • Manages the execution of all assigned national service agreements.  This includes working with the Strategic Accounts sales team within Rite-Hite LLC, all Arbon districts, and independent dealers, to ensure timely execution of all incoming work orders as well as invoicing and collections of same. 
  • Supports the Director of Continuous Improvement with the documentation and development of Arbon Quality Business Processes and related activities such as customer surveys, quality audits, and training programs. 
  • Manages the Arbon Quality System; analyzes data and makes recommendations for changes in processes and policy.  Supports the Director of Technical Services with the Administration of the ASAAP program. 
  • Partners with IT to manage Learning Management System functions as they relate to Arbon (ex: quality training). 
  • Supports all activities with the administration of the Docs and B2B Processes and the management of the Arbon / Rite Hite Consolidated Contact CenterPrepares reports as needed for corporate and district management to assess efficiency, effectiveness and profitability of orders and processes.

Project Management

  • Partnering with VPGMs and other stakeholders, captain projects related to centralization of functions to support the broader business.  This will include documentation of said processes, communication and training, and captaining change management.
  • Assess performance, review options, and make recommendations for changes to procedures and systems.  Supports the implementation of approved changes.
  • Work with newly acquired Distribution businesses to integrate into Arbon and Rite-Hite operational systems and processes.  This will include assistance with training of the staff during the transitional period.
  • May assist Arbon districts lacking an Administrative support in assisting the VPGM in the interim administrative support.
     

EDUCATION, EXPERIENCE, KNOWLEDGE & SKILLS:  The successful candidate will have the following qualifications:

  • Bachelor's Degree in Business Administration or a related field.
  • Ten or more years related experience in supporting field administrative operations and training, or equivalent combination of education and experience; five or more years of multiple employee supervisory experience required.
  • Demonstrated experience managing and communicating change across an organization.
  • Demonstrated experience defining, documenting, and reviewing processes.
  • Demonstrated ability to assess current state of a process, identify areas for improvement, design new process, and implement that process across multiple departments.
  • Demonstrated ability to define problems, collect data, establish facts, and draw valid conclusions and effectively present information to a variety of audiences and through multiple mediums.
  • High attention to detail and the ability to multitask in a fast-paced environment with strong ability to prioritize, organize, problem-solve, think strategically, and work well under pressure with multiple projects and deadlines.
  • Strong listening, verbal, and oral communication skills, fluency in English language (read, write, speak) required.
  • This role requires up to 10% travel to US locations.

SUPERVISORY RESPONSIBILITIES:

This position will manage Administrative Managers and a roll-up organization of administrative employees with the majority in a centralized location.
