TEAM OVERVIEW

KKR’s Global Corporate Services and Real Estate team is responsible for Facilities Management, Hospitality, Document Management, Office and Administrative Services, Travel and Transportation Services, Event Management, Real Estate Strategy, Design & Construction and Security & Resiliency. In addition, the team oversees administrative operations across the firm including managing the Executive Assistants and the related training, development, process enhancement, and implementation of best practices. The team is responsible for delivering world‐class workplace and services while managing expenses and vendors in the most commercial ways possible. The team also collaborates with relevant departments to ensure effectiveness in process quality and communication.

POSITION OVERVIEW

KKR is seeking to recruit an Office Manager to be based in Singapore. This role will be responsible for managing all administrative and business services personnel and processes for the office and will be required to act as a credible interface between front and back office functions. In addition, the incumbent will be expected to maintain operational best practices and work as part of a regional team spanning offices in the Asia Pacific region.  We are looking for someone who will bring fresh thinking and best practices to KKR, while adding significant value in helping the Firm attract, motivate and retain the best possible operational support and administrative talent. 

RESPONSIBILITIES    

  • Manage and provide leadership cross-functional representation for Corporate Service and Real Estate
  • Partner with Global Real Estate to proactively drive corporate real estate planning and execution, including lease renewal, capacity projection, space allocation, budget planning as well as reporting and analytics for each vertical within Corporate Services & Real Estate for Singapore on a regular basis
  • Partner with Global Travel Services Team to ensure compliance with policies within region and training of Executive Assistant Team
  • Ensure the safety of our people, assets, and relevant business continuity plans are developed, maintained and tested including crisis management, operational resiliency planning and reporting
  • Responsible for CSRE Operations to remain in compliance with company processes and policies (in particular: Legal, Compliance, Risk, Finance, Procurement etc) including local legal/regulatory correspondence, filings, surveys and inquiries
  • Full cycle projects management and vendor relationships management – represent the company with landlords, building/property management, vendors and other Corporate Groups
  • Ensure the delivery of facilities management services to a high standard. Identify opportunities that will continuously improve all aspects of FM Operations. Develop and maintain dashboard report on key metrics, KPIs and analytics and use this information to forecast the facility’s future needs.
  • Coordination of corporate events as required (e.g. business seminars, conferences, and road shows)
  • Responsible for oversight of Executive Assistants/Administrators, coverage model, performance reviews, compensation and training
  • Overall partnership with Human Capital to coordinate onboarding of new employees as well as collaborate with regional Office Managers to ensure consistency in service delivery where possible
  • Maintain knowledge of current and emerging trends in all functional areas to ensure services provided are market‐leading and appropriately provision.

EXPERIENCE / QUALIFICATIONS

  • A minimum of 10 years of experience in Office Management/Administration/Facilities & Corporate Services with qualification in Real Estate Management/Facilities & Corporate Services or related fields would be advantageous, but is not essential
  • Experience in financial service industry is preferred - solid and demonstrable track record of managing multiple teams and projects, delivering to business expectations and maintaining a high level of service including experience with workplace strategy solutions and workplace trends
  • Able to effectively engage, influence, and manage relationships with various stakeholders across different functions/levels of the organization.
  • Possess the ability to synthesize information from multiple sources, identify patterns, making connections how different elements within the organization interrelate to drive strategic decisions.
  • Ability to work on flexible schedule as the business demands (nights, weekends, holidays)
  • Energetic and detail-oriented with a professional service-oriented demeanor
  • An analytical mindset with problem solving skills and able to prioritize with high sense of urgency
  • Fluency in written and spoken English and Mandarin
  • Strong systems literacy, including MS Office (Word, Excel, Powerpoint) capability
  • Solid knowledge of local labor laws and Health & Safety requirements.
