A Day in the LifeThe Commercial Operations Support Associate is responsible for ensuring that all deliveries are accurately documented and verified. This role involves managing the final Proof of Delivery (POD) process, coordinating with logistics partners, resolving delivery discrepancies, and maintaining precise records for auditing and invoicing purposes. The ideal candidate is detail-oriented, highly organized, and experienced in delivery systems and customer service teams.

Responsibilities may include the following and other duties may be assigned:

  • Final Proof of Delivery Management: to Verify and validate POD documents submitted by drivers, couriers, or logistics partners. Ensure all required signatures, timestamps, and delivery details are accurate and complete. Monitor delivery statuses and follow up on missing or incomplete Proof of Delivery (PODs).
  • Issue Resolution:  to Investigate and resolve discrepancies between delivery records and Proof of Delivery (POD) documents. Coordinate with drivers, customers, and internal departments to resolve delivery disputes. Escalate unresolved issues to relevant departments for further action when necessary. 
  • Documentation and reporting: to maintain well-organized records of Proof of Delivery (PODs) for auditing and invoicing purposes. Generate reports on delivery performance, discrepancies, and exceptions. Assist in preparing documentation for financial reconciliation or customer claims. 
  • Collaboration and Communication: to work closely with logistics, operations, and customer service teams to ensure smooth delivery processes. Communicate with customers regarding delivery confirmations or address any issues as needed. Coordinate with third-party logistics providers to ensure timely Proof of Delivery (POD) submissions.
  • System and Tools Management: to utilize delivery management systems and software for tracking and validating Proof of Delivery (POD). Recommend improvements to the Proof of Delivery (POD) process to enhance accuracy and efficiency. Ensure compliance with company policies and relevant delivery regulations.

Required Knowledge and Experience:

  • BS. Degree in Logistics, business administration, or a related field.
  • 2+ years of experience in logistics, delivery operations, commercial finance or related roles.
  • Familiarity with delivery tracking systems and Proof of Delivery (POD) processes.
  • Strong attention to detail and problem-solving abilities.
  • Proficiency in Microsoft Office (Excel, Word) and delivery management software.
  • Excellent communication and customer service skills.
  • Ability to manage multiple tasks and meet deadlines.
