The Client Service Associate is responsible for providing high level service delivery to trust and agency clients, Wealth Advisors, Investment Advisors, intermediaries and other qualified referral sources and distribution channels.
Job Responsibilities:
- Manage multiple time sensitive tasks simultaneously for both internal and external clients. Those tasks include: preparation of account opening and closing forms/paperwork, asset gathering at initial account funding, transferring money both internally and externally, paper and electronic filing, paying bills in a timely and efficient manner on behalf of trust and agency clients and/or family offices, gifting.
- Other administrative tasks include coordinating with Investment Advisors, Wealth Advisors and Investment Associates on preparation and mailing of client correspondence, including Investment Policy Statements, Off-List Holdings Letters and concentrated stock position letters.
- Master the account opening process for all account types and handle high volumes of account opening paperwork in an efficient manner.
- Understand how fees are charged and exhibit an ability to manually calculate fees.
- Track account funding to completion, check all asset information for accuracy (cost basis, acquisition date, tax lots, etc.).
- Provide bill pay and cash movement services to select Wealth Advisors and Investment Advisors within the Wealth Management Division, specifically Investment Advisors and Wealth Advisors in the Berwyn location of the WMD.
- Coordinate client meetings for Wealth Advisors and Investment Advisors and assist in meeting preparation. Be willing and able to systemically tailor client presentation materials to the needs of the client and Wealth Advisor or Investment Advisor.
- Serve as first point of contact for many high net worth clients, as well as build and maintain those relationships by providing exceptional client service support.
- Provide backup to sort/scan and distribute mail, as needed.
- Proactively anticipate the needs of Wealth Advisors and Investment Advisors and work in conjunction with Investment Associates to track/resolve account compliance issues on their behalf including, but not limited to, stale IPS, Off-List Holdings Letters, Account Reviews with exceptions, etc. Act as Secretary to one or more internal committees (account review committee, discretionary distribution committee, etc.) and prepare accurate committee minutes that track exceptions.
- Maintain accurate client data on FIS Advantage (core trust accounting system), First Rate, Investor’s View and Nautilus.
- Other general administrative duties.
- This role requires Associates to be on-site 5 days a week.
Minimum Qualifications:
- Must have a high school diploma.
- College degree in business administration, finance or a business related major is preferred.
- Must have a minimum of 3 years of experience in administrative client service.
- Must have working knowledge of investment markets and trust administration.
- Must have proficiency in Microsoft Word and Excel as is basic numeracy.
- Experience with a trust accounting and/or investment system is preferred.
- Must be able to juggle priorities and be organized.
- Must exhibit initiative, and the ability to complete assigned tasks efficiently and with little supervision.
- Must have proven, excellent customer service skills.
- Must have excellent oral and written communication skills.
