Position: Operations Program Manager
Location: Based in San Francisco, with in-office presence once a week
About the Role:
We are seeking an Operations Program Manager to partner with the CEO and senior leadership team, focusing on operational efficiency, process improvement, and cross-functional alignment. This role is for someone who thrives in creating clarity out of chaos, builds scalable systems, and loves driving measurable impact. The right candidate will be tech forward and have 3-5+ years working for a SaaS company.
As the Operations Lead, you'll bring both strategic thinking and hands-on execution to create frameworks, optimize workflows, and ensure smooth collaboration across teams. This is a 100% Individual Contributor role where you'll lead initiatives that touch every corner of the organization.
If you're obsessed with organization, energized by untangling messy processes, and adept at building frameworks that scale, this role is for you.
Responsibilities:
Drive Operational Excellence: Act as the CEO's strategic partner, designing and implementing scalable frameworks that eliminate efficiencies and optimize team workflows to align with long-term goals.
Transform Mess into Momentum: Dive into organizational gaps, uncover inefficiencies, and build repeatable systems that create order and accelerate decision-making across the leadership team.
Oversee Program Management: Own the management of company-wide meetings, agenda, and follow-ups, ensuring discussions are purposeful and actionable. You'll also lead the process of hiring and managing a full-team EA to enhance support.
Create Scalable Frameworks: Design systems and processes that improve efficiency, foster transparency, and can be handed off to teams for long-term success before moving on to the next high-priority project.
Enhance Cross-Functional Collaboration: Coordinate across Product, Marketing, Sales, Engineering, and Finance teams to align initiatives with strategic priorities, ensuring seamless communication and execution.
Implement Data-Driven Solutions: Use automation, AI tools, and metrics to inform decisions, track progress, and ensure every operational improvement contributes to organizational goals.
Ideal Background:
- 2+ years of experience in a SaaS startup in operations, BizOps, or a similar role.
- 5+ years of experience in project/program management, management consulting, or a high-growth startup environment (seed to Series C).
- Proven ability to navigate messy or inefficient systems and create impactful, scalable solutions.
- Exceptional organizational skills, with a talent for creating order, managing multiple priorities, and delivering results.
- High emotional intelligence and stakeholder management skills, fostering trust and collaboration at all levels of the organization.
- A strategic thinker who pairs big-picture vision with meticulous execution.
- Proficiency with automation tools, AI platforms, and other technologies that drive operational efficiency.
Preferred Qualifications:
- Familiarity with project management tools and methodologies.
- MBA or advanced degree in business, operations, or a related field is a plus.
Why You’ll Love This Role:
- Make an Impact: Directly contribute to shaping and scaling the company’s operational processes and strategic initiatives.
- Thrive in Autonomy: Bring your creativity and organizational genius to life, driving initiatives from inception to execution.
- Learn and Grow: Work directly with the CEO and leadership team, gaining exposure to high-level strategy and operations, setting you up for future leadership opportunities.
