Role Description

This role would suit someone who both has a passion for events and operations but also is confident working with numbers and large data.

You’ll be spending the summer months onsite across all Live Nation Entertainment music festivals including The Great Escape, Latitude, Download, Reading and Leeds, Parklife, TRNSMT and many more. This means that there will be extensive UK travel and considerable time away from home during the festival season. This is a fantastic opportunity to be part of industry leading festivals and events as you’ll be right at the heart of operations.

As Cashless Project Coordinator the role will work across all Live Nation UK and Ireland festivals in which the Live Nation Cashless system is deployed reporting to the Cashless Project Manager. The role covers support to the Cashless Project Manager in all aspects of planning each Cashless event project including pre-event planning, on site deployment, post event reconciliation and settlement.

The role also proactively works with other Live Nation departments such as Sponsorship, F&B, VIPN, Production, Operations, Sustainability, and Internal Audit.

Competencies / Skills / Knowledge / Experience

  • Prior experience of finance – this may have been gained as part your studies or in your professional/work experience
  • Strong Excel skills – confidence using VLOOKUPs, PivotTables and SUMIFS etc.
  • Excellent communication skills
  • Strong attention to detail
  • Strong administration, time management, planning and presentation skills
  • Ability to manage pressure and conflicting deadlines in a challenging and fast-paced environment

What the role includes

Pre event

  • Weekly update of the cashless event list tracker, event master files and device requirements
  • Coordinate and support in weekly meetings per event
  • Coordinating and collating cashless requirements from partners by required deadlines per event (Including bank detail checks)
  • Coordinating site requirements, accommodation and catering per event
  • Site visits when required

During events

  • Checking all requirements are delivered as planned
  • Support in checking allocation of devices and adequate asset tracking
  • Support in building and updating on site reporting (internal and stakeholders)
  • Support in event reconciliation
  • Support internal audit process

Post event

  • Support in building and checking partners settlement files per event
  • Preparation for approval of post-event payments and updating summary file
  • Review and auditing of project invoices
  • Support in reconciliation of cashless balance to accounting system

Continuous

  • Monitoring and actioning customer refunds and chargebacks as required
  • Reconciling income and fees from card merchant service providers
  • Updating costing file analysis for all events
