Job Description:
The Business Support & Project Management Specialist plays a crucial role in supporting the Business Excellence, Market Access, Human Resources (HR), and Finance teams. This position is responsible for delivering high-quality, efficient, and proactive business and project management support to the Supporting Function teams. The specialist will manage the administrative needs of assigned teams, oversee projects, and ensure smooth operations across these departments.
Key responsibilities include managing and streamlining internal processes, identifying opportunities for efficiency and improvement, and planning project management activities. The specialist will collaborate with different departments to ensure all leaders are informed about the project's development status. This role is essential in maintaining operational excellence and driving continuous improvement within the organization.
Main Responsibilities:
Administrative Support
- Provide administrative support for payment requests and track monthly payment transactions for the Business Excellence, Market Access, HR, and Finance teams, including Supply Chain.
Meeting and Event Coordination
- Coordinate small and large meetings and events, both on and off-site, in collaboration with administrative staff from other locations, both domestic and international, as appropriate.
Event Broadcasting
- Broadcast company events, including creating and sharing post-event videos and photos that highlight key moments and achievements. These videos and photos will help relive the fun and keep everyone connected with our organizational activities.
Project and Assignment Support
- Support projects and assignments as needed among Supporting Function teams, including event and activity support, procurement, document management, new hire onboarding processes, and leaver processes.
Audit and Compliance
- Assist in internal and external audits to ensure compliance with company policies and regulatory requirements.
Follow-up and Documentation
- Follow up on actionable items arising from meetings, such as producing minutes and ensuring the timely distribution of relevant documents.
Additional Duties and Project Oversight
- Perform additional duties and assigned projects to achieve overall business objectives, overseeing the development of projects and ensuring that team members are carrying out their tasks efficiently.
Knowledge, abilities & experience:
Knowledge & Experience (essential)
- 5 years working experiences and at least two years in supporting management or business units
- Basic accounting knowledge and analysis skills
- Proven experience as an Executive Assistant within a similar industry sector, e.g. pharmaceutical or international business
Knowledge & Experience (preferred)
- Background of working in an international business functional area is preferred
- Experience with Concur is preferred
Education / Certifications (essential)
- University graduate, major in business related
Language(s) (essential)
- Proficient in Chinese and possess a professional level of fluency in all aspects of English
