Job Description:
The Business Support & Project Management Specialist who will support the Business Excellence, Market Access, Regulatory Affairs, Quality Assurance (RAQA), Human Resources (HR), and Finance teams.
He/She will be responsible for providing high-quality, efficient, and proactive business and project management support to the Supporting Function teams. This includes managing the administrative needs of assigned teams, overseeing projects, and ensuring smooth operations across these departments. Manage and streamline internal processes, spotting opportunities for efficiency and improvement. Plan project management activities, collaborate with different departments to ensure all leaders understand where a project is in the development process.
Main Responsibilities:
- Assist in internal and external audits.
- Provide administrative support for payment request, tacking of monthly payment transaction, to the Business Excellence, Market Access, RA/QA, HR, and Finance teams, including Supply Chain.
- Support projects and assignments as needed among Supporting Function teams. Providing support of events and activities, procurement, new hire onboarding process, leaver process...etc.
- Coordinating small and large meetings and events, both on and off-site, in collaboration with administrative staff from other locations, both domestic and international, as appropriate
- Follow-up actionable items arise from meetings e.g. producing minutes and ensuring timely distribution of relevant documents
- Performing additional duties and assigned projects to achieve overall business objectives. Oversee the development of the project and ensure that team members are carrying out their tasks efficiently
Knowledge, abilities & experience:
Education / Certifications:
- University graduate, major in business related
Experience:
- 5 years working experiences and at least two years in supporting management or business units
- Basic accounting knowledge and analysis skills
- Proven experience as an Executive Assistant within a similar industry sector, e.g. pharmaceutical or international business
- Background of working in an international business functional area is preferred
- Experience with Concur is preferred
Languages:
- Professional level in English in all aspect
Key Technical Competencies Required:
- Proficiency in Microsoft Office (Word, Outlook, Excel, and PowerPoint)
- Knowledge of teleconference equipment (Microsoft Teams) or other related software
- A strong attention to detail, excellent and direct communication skills, strong interpersonal skills, and cross-cultural understanding and sensitivity
- Demonstrated experience managing multiple and complex travel arrangements while planning all aspects of complex meetings, on and off-site
- Ability to see the big picture, while keeping an eye on the detail
- Ability to take initiative with a positive attitude in all circumstances
- Flexible; independent problem solving and self-direction
