We are looking for an assistant to support the EMEA Business Development team in London and Europe, while interacting and coordinating with the Business Development & Client Service, Legal & Compliance, and Operations teams based in NY/Dublin and the European/UK Compliance entities. This role reports to the Marketing and Client Services Administrative Manager and will work alongside a Marketing and Client Services assistant. The ideal candidate will have excellent organization skills, be a good communicator (both written and verbal), have a keen eye for detail, and the ability to manage multiple tasks efficiently and to deadlines. Additionally, the ability to work in a small team and collaborate across offices and time-zones will be important.   

Responsibilities: 

Business Development Support – 80% per month  

  • Develop, coordinate and distribute regular prospect reports (i.e. commentaries, statements, and questionnaires) within agreed deadlines.
  • Navigate the firm’s resources to collect information and respond to prospect requests, liaising with the Request for Proposal (RFP) Team.
  • Provide compliance-approved marketing and sales materials to support the Business Development team.
  • Be an internal point of contact for consultant and prospect requests and communications within the EMEA region, providing backup and support to the London Business Development team.
  • Update and maintain relevant information in Salesforce with the Sales team.
  • Manage Salesforce Engage and mass mail activities.
  • Assist with ad-hoc projects and tasks.
  • Assist the sales team with research (new prospects), database project, and ad-hoc projects/requests.
  • Assist the sales team with PR activities (arranging interviews/webinars/meetings) 

Administrative Support – 20% per month  

  • Schedule meetings and conference rooms for the sales team.
  • Prepare marketing materials for calls/meetings, manage calendars, print/bind presentations, perform other ad-hoc tasks.  

Duties, responsibilities and activities may change at any time. 

Note: We are currently working in a hybrid environment with 4 days in the office and 1 day remote. You will also have an additional 15 days of remote flexibility that can be used at your discretion.   

Qualifications:  

  • College Degree (preferred) or relevant financial services experience.
  • 1-3+ years of business development and sales support is preferred.
  • Experience or knowledge of the investment management industry is preferred.
  • Prior Salesforce experience is a plus.
  • Must be proficient with Microsoft Office Suite: Outlook, Excel, PowerPoint.
  • Must be able to work Monday-Friday 9:00am-5:30pm and on-site minimum Monday-Thursday
