As a Business Assistant within our Payments team, you will be supporting Executive Directors, Vice Presidents, Analysts, and Associates in our fast-paced Commercial & Investment Bank. In this role you will work in a team environment, represent the manager/group with professional courtesy and acumen, and deliver flawless work output. Your daily routine will include interaction with various executive level internal clients across the lines of businesses. You will need to adapt procedures, processes and techniques to complete assignments in line with the department's activities and goals.
Job responsibilities

  • Proactively manage diaries, including scheduling internal/external meetings, conference calls, and orchestrating off-sites, and skip-level meetings.
  • Partner with relevant groups to book travel and entertainment, ensuring compliance with Firmwide T&E policies. Escalate and enforce policies, including receipt requirements and timely information handover.
  • Handle internal and external client interactions, coordinate department scheduling, and manage transactional activities.
  • Work with support groups, Business Management, and business stakeholders across Lines of Business (LoB).
  • Utilize internal systems for accurate data entry, reporting, and information collation.
  • Manage distribution lists, technology usage, and other administrative tasks.
  • Become an integral part of the business, understanding group priorities and expectations.
  • Collaborate with assistants across LoB to provide coverage as needed.


Required qualifications, capabilities, and skills

  • Fluent German and English (both written and verbal).
  • Professional client handling, ability to build and maintain business relationships.
  • Diary management competency - apply good judgment and understand competing priorities.
  • Effectively arrange travel, produce accurate itineraries, and optimize travelers' time and business costs.
  • Demonstrate initiative and ownership within the role.
  • Strong understanding of expense systems and cost control initiatives.
  • Strong written and verbal communication skills. Polished, calm, and composed manner, able to work under pressure and partner across hierarchies.
  • Exhibit a common-sense approach and drive efficient time management for seniors.
  • Deliver high-quality results with a keen eye for detail. Willingness to adapt to change.
  • Understand the culture of an Investment Bank and navigate the political landscape. Stay current with CIB/Firmwide Policies and ensure adherence, escalating concerns as needed.
  • Strong team orientation and solution-focused mindset. Ability to act as a role model to peers.
