Join a leading bank as a Business Assistant, supporting senior stakeholders with professionalism and confidentiality.
As a Business Assistant in our dynamic banking team, you will have the opportunity to leverage your strong Executive Assistant background to manage stakeholders' diaries and everyday needs, ensuring seamless client service through effective prioritization. Your role will require flexibility and advanced assistant skills, as well as strong attention to detail and effective communication abilities. You will work collaboratively, handling multiple responsibilities, people, and timeframes, while adeptly navigating systems, policies, and procedures to support the organization's goals.
Job responsibilities
- Manages daily activities: advanced, complex diary management, high-volume email management, and professional telephone communication
- Greets clients: handles internal and external client interactions, organizes meetings and events, and collaborates with marketing teams in Europe
- Sets up meetings, conference calls, and video conferences
- Finalizes complex travel arrangements, including flights, VISAs, accommodations, and logistics, managing frequent changes and preparing itineraries
- Processes expense reimbursements, utilizes internal systems, and prepares necessary documents for client meetings
- Becomes an integral part of the business, understanding group priorities and expectations
- Assists with staff onboarding and offboarding, equipment setup, and leads ad hoc projects
- Organizes internal and client events, partnering with marketing teams
- Creates and manages Excel sheets, Word files, and PowerPoint presentations
Required qualifications, capabilities, and skills
- Minimum of five years of assistant experience, ideally supporting mid-level Directors or above
- Advanced organizational skills, ability to meet deadlines, and demonstrate proactivity and ownership
- Assertive, with the ability to make decisions independently
- Tact and good judgment in confidential situations, with proven experience interacting with senior management
- Strong interpersonal, written, and oral communication skills
- Proficiency in Microsoft Office
- Excellent telephone etiquette and ability to manage competing priorities
- Fluent in English
- Polished, professional approach, calm demeanour, and ability to work under pressure
Preferred qualifications, capabilities, and skills
- Good knowledge of Dutch
Note: This is a fixed-term contract for one year.
