Job Description
Job Title: Business Admin
Location: Ho Chi Minh city, Vietnam
About the role:
The job requires the person to manage for the Business events and conferences from pre-event planning; manage registration and attendance; set and manage budgets; research venue; manage relationships with attendees to ensure the event's success; oversee the on-day logistics of all events, run post-event follow up with participants and evaluate events.
How you will contribute:
Tender Management & Sales Reporting (60%)
- Cooperate with cross-function and distributor in tender process
- Prepare tender documents to support all tender submission on time
- Monitor tender status and report to National Sales Manager and Regional Manager on time
- Analyse and report actual performance vs. quota
- Manage centralized database that support field force activities, including tender, sales report, HCP database, internal systems and tools (eg. CHARM, Ariba, etc.)
- Coordinate with Business Operation and field force to update sales report, follow up sales performance (In-arms, In market sales) for routine operational planning activities (eg. S&OP meeting, territory planning etc.)
Administration Activities of Field Force (40%)
- Manage the administration and process to support the execution of all field force led activities (eg. Hospital meeting, mini-symposium, third party congress and symposium led by field force, etc.)
- Coordinate with other Business Support colleagues to organize Marketing led activities or Medical led activities (eg. Takeda organized meeting & events (TOME), third party congress and symposium, material assets from marketing or medical for FF (eg. Poster, leaflet, booklet, etc.))
- Typical tasks can be named as follow (but not limited to):
- Follow up with medical association, HCO or provincial SOH to support logistics and documents in implementing the business events and activities as plan.
- Archive all documents and materials submitted dossier for further reference.
- Coordinate 3rd party support for registration the program.
- Support National sales managers (NSM) (both Strategic customers and General & Public customers) to in meeting minutes, sales reports etc.
- Be responsible for all admin activities for field force (both Strategic Customers and General & Public Customers teams)
- Coordinate with other functions within Vaccine BU and/or other departments in Takeda to organize or implement internal activities and projects of BU or of company when required.
- Support other ad hoc work related or assigned from time to time.
Ethics & Compliance
- Follow all rules, principles and SOPs of Takeda global and Takeda VN for all activities.
- Be the gate keeper and adviser to Vaccine Field force in complying to company's SOP, local regulation and Takeda-ism when implementing all activities led by field force.
What you bring to Takeda:
- College Degree
- Good command of English (reading, writing) and conversational English speaking
- A minimum of 2 years of experience in sales or marketing support for pharmaceutical companies
- Experience in working on administration tasks with provincial department of health, hospitals, institutes; experience in working with vaccination centers and CDC is a plus
- Pursue values of integrity
- Details and process oriented
- Well-organized and self-disciplined
- Proactive in planning tasks and activities and in working with cross functions
- Good interpersonal skills
- Able to work as an individual and in a team
