Job Description
The bid and planning officer will be responsible for managing and overseeing the process of preparing bids for projects, procurement, and contracts, as well as contributing to strategic planning efforts within the company. The role ensures that the company submits competitive and accurate bids while aligning them with the company’s overall business goals and operational plans.
Key Responsibilities:

Bid Management:
- Lead and coordinate the preparation of tender submissions, ensuring all requirements are met and deadlines are adhered to.
- Collaborate with various departments (e.g., business development, finance, legal, operations) to gather necessary information for bid preparation.
- Develop bid documentation, including cost estimates, technical specifications, and compliance checks.
- Analyze competitive bidding environments and market conditions to formulate effective bid strategies.
- Ensure the bid is aligned with the organization's capabilities, compliance standards, and financial goals.

Planning and Strategy:
- Contribute to the development of business plans and strategic initiatives.
- Assist in identifying and evaluating new business opportunities and markets.
- Support long-term business development goals through the planning and execution of tactical and strategic projects.
- Monitor industry trends, competitors, and market changes to help the organization stay competitive.

Cost Estimation and Financial Analysis:
- Conduct cost analyses and work with finance teams to develop pricing strategies.
- Assess the financial viability of bids and ensure profitability while remaining competitive.
- Develop detailed financial models for bidding projects.

Documentation and Reporting:
- Maintain accurate records of bid submissions, including documentation, proposals, and feedback.
- Track and report on bid status, success rates, and areas for improvement.
- Prepare post-bid analysis and reports to assess the performance and identify lessons learned.

Stakeholder Communication:
- Liaise with external stakeholders, including clients, suppliers, and contractors, to clarify requirements and ensure alignment during the bidding process.
- Facilitate communication between internal departments to ensure smooth bid execution and project planning.

Compliance and Risk Management:
- Ensure all bid processes comply with legal, regulatory, and organizational requirements.
- Assess and mitigate risks related to contract terms, financial arrangements, and project execution.
Schedule:
- Pacific Time
- 8 hours shift
- Monday to Friday
Pay - Php 35,000 to 60,000
Qualifications
Qualifications:
- Education: Bachelor’s degree in Engineering, or a related field. A Master’s degree or certifications in project management (e.g., PMP) is a plus.
- Experience: At least 5 years of experience in bid management, planning, project management, or business development. And 5 years of experience in procurement management.
- Skills:
- Strong knowledge of tendering processes and contract management.
- Proficiency in Microsoft Office Suite and bid management software.
- Analytical skills, including financial modeling and cost estimation.
- Excellent communication and negotiation skills.
- Strong organizational and time-management abilities.
- Must have the ability to read construction plans such as but not limited to civil and electrical plans (preferred)
