Powerhouse is seeking an Assistant Operations Manager to join our growing team. The Operations team collaborates across all the functions and programming at Powerhouse. As Assistant Operations Manager, you will support building operations related to day-to-day operations, health and safety, event support, and governmental compliance. This interdisciplinary role will report to and directly support the Associate Director of Operations (ADO) and work closely with the Operations, Facilities, and Events departments. This role will take overall direction from the Associate Director of Operations while working in a self-directed manner to manage projects and tasks.

Areas of responsibility include:

Building Operations

  • Manage day-to-day operations between the Fabrication, Events, Facilities, Security, and Cleaning teams by:
    • Organizing and managing shared schedules, identifying potential collisions, and hosting collaboration and discussion around interdepartmental topics.
    • Supporting fabrication studios and shops in building operation needs, collaborating in problem-solving, and managing resolutions.
    • Serve as the point person for building needs during evening and weekend hours, collaborating with the front desk, security, and facilities teams.
  • Collaborate with the ADO to create and document building protocols for security, shared building resources, health and safety, and more.
  • Coordinate health and safety initiatives for staff and the building, including environmental compliance, training and education, and resource maintenance.
    • Coordinate with department leads to advance the development of H&S programs and protocols; assist in H&S infrastructure or equipment upgrades. 
    • Maintain an inventory of organization-wide health and safety consumables; coordinate chemical disposals and pickups for the organization. 
  • Manage shared spaces and resources, including scheduling and maintenance for the spray booth, admin areas, loading dock, freight elevator, and other spaces.
  • Support the ADO on various operations and capital projects, including scheduling vendors, invoicing, overseeing services, and procurement.
  • Support cross-departmental collaboration to facilitate logistical needs, event planning, and on-site coordination.
  • Support the Facilities Director by tracking governmental compliance, filings, permits, violations, and inspections as needed with NYC DOB, DEP, EPA, FDNY, OSHA, and others.
  • Support the cleaning team by helping the ADO delegate day-to-day tasks, maintaining supply stock, and organizing and scheduling tasks that align with Powerhouse’s events schedule.

Supporting Events / Event Production

  • Assist the ADO in coordinating all building logistics on Momentus and scheduling upcoming projects, events, tours, and more.
  • Provide administrative support for event sales and production, including data entry and reporting on Momentus, scheduling vendors, and managing cleaning and security.
  • Partner with ADO to publish reports, update org-wide calendars, and share information related to calendarized events. 
  • Provide hands-on support for event production, such as coordinating personnel, light assembly, packing/unpacking, and organizational projects.

  • 3-5 years of experience in operational roles; non-profit or arts experience is a plus.
  • Weekend and evening (5pm - 8pm) availability required.
  • Excellent verbal and written communication skills.
  • Experience with data entry, events management, and planning preferred.
  • Strong organizational skills, detail-oriented, and able to multitask in a fast-paced environment.
  • Proficiency in Microsoft Office Suite, Google Workspace, and experience with project management tools like Asana.
  • Prior use of Momentus Technologies event software, a plus
  • Ability to lift up to 25 pounds and travel upstairs.

Hours & Compensation: The schedule for this position is an 8-hour shift from Sunday-Thursday with schedules between 7:30 am-10:30 pm. Due to the nature of the role, flexibility to work on evenings and weekends is required. The salary is $60,000-$70,000 annually. Benefits include health insurance, an employer-sponsored retirement plan, generous paid vacation and PTO, and CitiBike membership.
