Role purposeThe key purpose of the Assistant Operations Manager Risk & Services, is to administer the health and safety management system, ensure compliance against statutory obligations and manage agreed building services activities. Building services activities will change from time-to-time in line with business needs. These core deliverables will be achieved through the execution of a well-considered strategy in line with the Chadstone Business Plan.
The Assistant Operations Manager has responsibility for activity within retail and commercial assets on the property.
Contributing to the professional working environment and striving to deliver results that exceed industry best practice will be crucial to the success of the incumbent.
Key Responsibilities
RISK & COMPLIANCE

Monitor compliance against statutory obligations and administer the health and safety management system. Recommend strategies and actions that will promote a high level of diligence, engagement and positive outcome across both streams;

Complete audits and risk assessments in accordance with a planned and ad-hoc program to demonstrate performance and identify improvement opportunities. This task is applicable to Vicinity team members, Vicinity contractors and tenant contractors;

Oversee the implementation of the fire system isolation and permit to work systems. Ensure all insurance requirements are met in relation to system impairments;

Manage the centres risk register and undertake an annual update of the same;
-
Support the Operations Manager to execute annual full function fire testing obligations and monitor defect resolution;

Present routine training and conduct tool box talks;

Contribute to the creation and execution of an annual operations strategy;

Complete administrative duties as required including writing performance and management reports. Ensure documentation management processes meet Vicinity and statutory requirements.
SERVICES

Coordinate the implementation and ongoing maintenance of the FSI Evolution computerised maintenance management system (CMMS); This will include delivering the asset to an industry leading standard on a daily basis; leading the maintenance team and developing capability in addition to activities such as rostering, learning and development tasks and performance evaluations; meeting agreed KPIs for maintenance activities and response times; responding to day-to-day issues efficiently and actioning resolutions that deliver a positive experience; maintaining an accurate asset register within the CMMS; minimising risks and contributing to a healthy and safe environment; and completion of planned maintenance tasks within agreed time frames. ;

Monitor the condition of external paving and internal floor tiling and coordinate works to maintain a high level of presentation and safety;

Support the Operations Manager by attending building services contract meetings and maintaining minutes and associated documentation;

Assist with the delivery of capital projects <$250,000;

Act as the primary point of contact for the marketing team to deploy in-house and contract resources to ensure the smooth delivery of events and promotions.

A qualification in the health and safety discipline is essential and you will be unwavering in your approach to deliver a safe and healthy environment, never being afraid to take decisive action to achieve this outcome. You will possess a strong knowledge of relevant acts, legislation and standards.

You will demonstrate technical knowledge of building operations and experience in property management, preferably in an asset with a GLA >100,000sqm, with demonstrated experience managing regulatory requirements, planned and ad-hoc maintenance of buildings and equipment, and multiple service contracts with a value >$100,000.

You will be an excellent communicator that can leverage relationships to deliver best in class outcomes in a fast-paced environment. You will be comfortable in a role that is required to prioritise activity to achieve the most important results in a timely manner.

Working Requirements
- It is acknowledged that due to the nature of the position and the industry in which Vicinity Centres operate, there is a requirement to work outside of normal business hours. Tasks include but are not limited to; performing the role of Duty Manager , responding to afterhours emergency phone calls, undertaking audits and inspections and conducting any position associated task required outside core business hours.
- These activities will change from time to time in line with activities expected of an operational team member in a commercial and retail environment.
