Job Overview

The part-time Assistant Box Office Manager is a critical role focused on creating and maintaining accurate event builds in Tessitura, the Athenaeum Center’s ticketing software. This role requires a detail-oriented and tech-savvy individual who can work flexible hours, including evenings and weekends, depending on event needs. The Assistant Box Office Manager will help manage ticketing operations under deadline-driven schedules while supporting the Box Office Manager in ensuring seamless patron experiences.

Key ResponsibilitiesShow Builds and Ticketing System Management

  • Build and maintain events in Tessitura, including in-house productions, resident company performances, and third-party rentals.
  • Configure ticket pricing, discounts, holds, and promotions to meet event and financial goals.
  • Collaborate with marketing, production, and talent departments to gather event details and ensure accurate setup.
  • Monitor ticket inventory, adjust seat holds, and generate event-related reports.
  • Ensure consistency and accuracy in print and digital ticket formats.

Deadline-Driven Event Preparation

  • Complete event builds and configurations under strict deadlines, adapting to short-notice changes.
  • Flexibly adjust work hours to accommodate time-sensitive needs, including evenings and weekends.
  • Communicate progress and updates with the Box Office Manager and other team members.

Customer Service & Operations

  • Assist with ticket transactions and address patron inquiries or issues.
  • Provide support for box office operations during events, including ticket scanning and will-call management.
  • Collaborate with internal departments and external event partners to meet ticketing needs.

Staff Training and Support

  • Assist in training box office staff on Tessitura and ticketing best practices.
  • Act as a resource for staff to troubleshoot ticketing system issues during events.

Administrative and Financial Tasks

  • Reconcile daily ticket sales and deposits following established financial procedures.
  • Support the Box Office Manager in preparing financial reports and event settlements.
  • Assist with reconciling third-party ticket sales when applicable.

RequirementsEducation and Experience

  • At least 2 years of experience in box office operations, with hands-on experience in Tessitura or similar ticketing systems.
  • Previous experience with event builds and ticketing configurations is strongly preferred.

Skills and Abilities

  • Advanced proficiency in Tessitura, including event building, pricing, and inventory management.
  • Strong attention to detail with the ability to meet strict deadlines.
  • Excellent communication and problem-solving skills.
  • Ability to work independently while managing multiple priorities in a fast-paced environment.
