Primary Purpose: This position is primarily responsible for management of the Architecture & Engineering (A&E) plan review process and tracking of A&E construction documents through all phases of development for all projects. The role will also manage the pre-planning due diligence walkthrough process for all new, remodel expansion projects and convey those notes to all team members, Architects & Engineers. This is an integral role in quality control and timeliness of our building plans, as well as helping to control changes and costs on projects.
Our flexible/ hybrid work schedule includes 3 in-person days at one of our core locations and 2 remote days. Our core office locations include Salisbury, NC , Chicago, IL, Quincy, MA, Carlisle, PA, Scarborough, ME, Hyattsville, MD and Mauldin, SC.

Duties and Responsibilities:

  • Coordinate and schedule on-site walkthroughs of all remodel projects with representatives from Store Development, Brand Operations, Maintenance, and other necessary team members. Create a written record of site-walkthrough discussions as well as a plan marked up with all requested changes and fixture plan updates for distribution to all attendees.
  • Control schedule and timing with an emphasis on consistency and accuracy throughout the process.
  • Work closely with the Store Development Director for A&E team selection for each project.
  • Coordination of all Vendor Due Diligence activity.
    • Work with the Design teams and Brand Operations to arrange on-site walkthrough for thorough analysis of all building components and systems.
    • Prepare Request for Proposal (RFP) and Scope of Work (SOW) documentation for each project to engage Architectural team.
    • Ensure Due Diligence report is completed and distributed to all relevant parties.
  • Coordinate and manage the A & E drawing process from A&E Due Diligence through Bid/Permit Set, as well as ensuring all fixture plan modifications are distributed for generation of document Bulletins.
    • Provide the A&E teams with a project tracker to align plan due dates, walkthroughs and plan distribution.
    • Create Bluebeam Revu Sessions for redlining of check-sets and final redline review set.
    • Manage Teams Channels for document transfers with various design teams.
    • Communicate updates back to Store Planning for inclusion on final fixture plan and notify all departments involved in walkthrough of items discussed but not included in final scope.
    • Coordinate all incoming bulletins and addendums for all projects. Compare incoming bulletin to approved SOW change order and verify that work has been completed appropriately.
    • Work with A&E team and Project PM to ensure any errors or omissions are resolved.
    • Work with SD Director and SD Project Manager to ensure that changes are made to only approved locations.
    • Manage drawings in PMWeb (internal software) and SharePoint project document storage.
  • Fixture Plan review and distribution.
    • Review all fixture plan changes, in relation to the status of the overall construction project, with the SD Project Manager prior to releasing any changes to Architect and in-house engineering team.
    • Distribution of all Fixture Plans, once approved, to the Design teams.
    • Ensure Fixture Plan changes are fully incorporated into the plan set.
    • Take notes related to architectural/engineering issues and work with A/E team to ensure each issue is resolved prior to commencement of next project. Distribute notes to Architecture & Engineering Associate to update Criteria drawing package as necessary.
  • Additional job duties may be assigned as needed to meet the needs of the business and support our values.


Qualifications:

  • Bachelor's Degree: Degree in Architecture, Interior Design, Engineering or Construction Management preferred.
  • 2-4 yrs in related industry
  • Basic Design & Construction Principles:
    • Understand basic architectural design, MEP engineering and Refrigeration engineering concepts and processes.
    • Ability to read drawings to ensure information is shown accurately.
    • Construction methods and materials.
  • Technology / Software:
    • Bluebeam Revu - Creation of Bluebeam Revu Sessions for each design deliverable so all parties can redline and comment on the review sets.
    • MS Excel
    • MS Teams - To include creation of Teams Channels.
  • Project Management:
  • Organizational skills and attention to detailCommunication skills - written, oral and listening
  • Presentation skills
  • Management of multiple vendors for each project
  • Creation and management of design deliverables schedule that alignss with SD Director's main tracker.
  • Understanding of how to read / understand contracts and PO language.
