Scope and Responsibilities:

Based in Hong Kong, the HR Administrator will be responsible for providing and enhancing day-to-day HR administrative support across multiple markets in the Asia region. This is a broad administrative role that requires high attention to detail, excellent co-ordination skills, and a proactive, client-focused mindset to provide support that covers end-to-end the employee lifecycle processes and operations. The role will lead on employee data management and HRIS administration. A core member of the Asia HR team, this role will collaborate with Europe and Global HR colleagues, the business and external partners to enable smooth delivery of HR services in the region.

Key responsibilities:

HR Administration & Operations
•    Provide day-to-day HR administrative support to employees across Asia markets, ensuring data accuracy and adherence to local regulatory requirements, as well as the company's processes and standards.
•    Perform HR data entry and transaction processing in Workday, including entering new hire information, changes, transfers, and other employee status changes. maintaining employee records and ensuring data integrity.
•    Support employee lifecycle processes including resourcing, onboarding, new hire orientation, probation reviews, offboarding, and employee mobility.
•    Prepare HR documents such as contracts, letters, and reports, with accuracy, efficiency and compliance in mind.
•    Assist with immigration related processes.
•    Assist with training, compensation and benefits administration, as required, including enrolments, scheduling and queries.
•    Contribute to regional HR projects, process enhancements, and employee engagement initiatives.
•    Support HR reporting, data analysis, and audit preparation, for tracking purposes and records as required (e.g. approval forms; resourcing and agency reports; internal vacancy report; turnover reports; staff changes reports).

Resourcing Coordination:
•    Coordinate resourcing, partnering closely with business and HR stakeholders, including: posting roles, screening CVs, scheduling interviews, administering assessments, managing agency relationship / candidate communications, preparing job offer and updating the internal applicant tracking system.
•    Actively use all platforms to assistant direct sourcing for the team as directed.
•    Ensure Workday and all documents are kept up to date (particularly CV and interview records; T&C’s for preferred suppliers and maintaining agency terms report).
•    Facilitate the on-boarding process by collaborating with other areas of the business (e.g. Corporate Services and IT) on induction on-boarding to ensure a smooth on-boarding experience for new joiners.
•    Provide a warm, professional service to all hiring managers and candidates when responding to queries and act in a supportive and professional manner.
•    Ensure a high-quality candidate experience in line with the firm’s standards and brand.
•    Partner with the Europe HR team to lead the implementation of the international internship program in Asia, including co-ordination of all aspects of the intern journey from resourcing and selection through to on-boarding and intern experience in collaboration with the business. Gather and share feedback to evolve future programs.

Experience required
•    Minimum of 2 years’ experience in HR administration, preferably within a Financial Services environment.
•    Exposure to or understanding of HR practices in Asia markets (e.g. Hong Kong, China Mainland, Singapore, Japan, Australia) is preferred.
•    Proficient in Microsoft Office applications including Excel, Word and Outlook
•    Familiarity with Workday is a plus.
•    Previous hands-on experience with resourcing is advantageous.
•    Fluency in English is mandatory; Cantonese and Mandarin are strongly preferred.

Education
Bachelor’s degree is required.
