The Administrative Project Manager will oversee and support the administration and coordination of proposals and projects related to hazardous and solid waste management, climate change, emergency management, and environmental justice. This role involves managing proposals, project schedules, budgets, and communications while ensuring compliance with contract requirements. The position is pivotal in facilitating project workflows, providing administrative support, and liaising between stakeholders, including internal teams, subcontractors, and regulatory bodies.
Job Description:
- Proposal Coordination and Oversight: Monitor the pipeline of anticipated requests for proposals
- Plan, coordinate, and monitor project timelines, milestones, and deliverables for proposals
- Organize strategy discussions related to proposal development
- Ensure proper staffing of proposals; coordinate technical, editorial, and cost reviews
- Ensure timely submission of proposals
- Project Coordination and Oversight: Plan, coordinate, and monitor project timelines, milestones, and deliverables
- Assist in establishing project priorities, aligning them with program objectives and compliance standards
- Support budget tracking, procurement, invoicing, and reporting processes
- Administrative Support: Provide daily administrative support to project managers and team members, including scheduling meetings, preparing agendas, and documenting action items
- Manage documentation, including project records and reports, and ensuring compliance with contract requirements
- Assist with contract management and vendor communication
- Communication and Stakeholder Management: Serve as the primary point of contact for internal and external stakeholders, ensuring consistent and transparent communication
- Prepare regular project status reports, updates, and presentations for leadership
- Respond to questions promptly, coordinating information flow and issue resolution
Job Description:
- Bachelor’s degree in Project Management, Business Administration, Environmental Science, or a related field
- Project management, such as Project Management Professional (PMP) or Association of Proposal Management Professionals (APMP) (Foundation, Practitioner, or Professional), desired
- 5+ years of project management and administrative experience, ideally in a regulatory or environmental context
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- Proficiency in project management tools (e.g., Microsoft Project, Asana)
- Familiarity with federal environmental regulations is a plus
