The primary responsibility of the Administrative Coordinator- Nomura is to provide administrative support to sales teams that are dedicated to our key Asian clients and rest of world including LATAM / Mexico.

Major Responsibilities

  • Perform general administrative tasks (filing, photocopying, ordering supplies, answering phones, calendar scheduling, and approving time).
  • Coordinate and organize meetings, including scheduling, preparing materials, drafting agendas, and taking notes.
  • Process documents, including correspondence, spreadsheets, presentations, and standardized letters.
  • Manage appointments, travel arrangements, itineraries, and expense reports.
  • Order, prepare, and track client/prospect gifts within compliance guidelines.
  • Support onsite and offsite client visits, handling logistics such as meeting prep, catering, IT support, reservations, and event coordination.
  • Maintain and update client/prospect information in Salesforce.
  • Ensure compliance with company policies and act as a resource for sales teams.
  • Create and maintain documents using Office 365 and other software.
  • Assist with special projects and additional duties as assigned.

Activities in CRM Database

  • Update system with new/current contact information.
  • Enter call reports to document details of external appointments/meetings and activities.
  • Order collateral for client/consultant/prospect mailings, meetings and events.
  • Process client/consultant/prospect mailings.
  • Prepare, maintain and distribute reports.

Required Skills

  • Highly motivated, self-starter with the ability to determine priorities, plan, organize and follow through on assignments.
  • Proactive approach to support.
  • Provide support with a “can do” attitude and helpful attitude.
  • Dedication to quality with a focus on timeliness and attention to detail.
  • Ability to work independently and as a member of a team.
  • Computer skills/Proficient in MS applications.
  • Working knowledge of Salesforce preferred.
  • Working knowledge of SharePoint preferred.
  • Knowledge of FINRA guidelines preferred.

Required Experience/Education

  • Bachelor’s degree or any equivalent combination of education and work experience
  • 3-5 years’ administrative experience.
  • Customer service experience.
  • Financial Services industry experience preferred.
  • Working experience of the Japanese business culture and language preferred
