Your Job:
The Administrative Coordinator, Asia will provide essential administrative and logistical support to ensure smooth daily operations. Reporting directly to the Administrative Lead - Asia, this role will focus on managing transportation, accommodations, office supplies, and vendor relationships while ensuring efficiency across administrative functions. Also, this role will play a key part in assisting visitor logistics and supporting process improvements in office management. The ideal candidate is proactive, highly organized, and capable of balancing multiple priorities effectively.
Your Responsibilities:
- Manage car bookings and transportation arrangements within North Vietnam. Including airport pick-ups/drop-offs, and accommodations.
- Manage hotel reservations for employees and business visitors in North Vietnam.
- Organize and assist with internal team events, meetings, and offsite activities as needed.
- Maintain office supply inventory, ensuring availability of stationery, snacks, and office essentials.
- Process, track, and submit expense reports with accuracy and timeliness.
- Develop and maintain strong relationships with vendors to ensure quality service and efficiency.
- Work closely with all functional teams to support administrative and operational needs in North Vietnam office.
- Review invoices and contracts related to transportation, hotels, and office operations, ensuring accuracy and timely payments.
- Oversee general office operations, including mail distribution, facility requests, and office upkeep.
- Ensure SharePoint and internal filing systems are kept up to date for easy access to key documents.
- Maintain and update contact lists for employees, vendors, and key business partners in North Vietnam.
- Implement and improve administrative processes to enhance efficiency in office operations and expense tracking.
- Open for International and domestic business trips if required.
Qualifications:
- Bachelor’s or Associates degree in business administration, Communications, or a related field preferred.
- Minimum of 1+ years of experience in administrative support, preferably in a coordination role.
- Strong English communication skills (both verbal and written) to interact with global and regional counterparts.
- Excellent interpersonal skills with the ability to develop relationships with employees, vendors, and external partners.
- Strong organizational and multitasking abilities to effectively coordinate various tasks in a fast-paced environment.
- Attention to detail with the ability to meet strict deadlines and handle confidential information with discretion.
- Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word, Visio), SharePoint, and office technology tools.
- Experience in preparing polished presentations using PowerPoint/Keynote and compiling detailed reports in Excel is preferred.
- A proactive, self-motivated individual who can work independently while effectively collaborating within a team.
