We are currently expanding our presence in Romania, building a strong foundation for our local operations and seeking a dedicated Administrative Business Partner to support our Site Leadership Team. 

Summary

The Administrative Business Partner will provide comprehensive administrative support to the Site Leadership Team, ensuring effective coordination of activities, meetings, and communications. You will facilitate seamless operations and serve as a critical communication link across offices and teams. You’ll anticipate the needs of the local leadership team, enabling the organization to stay focused on building a world-changing company. 

In addition to being organized and analytical, you also have great communication skills needed to interact with a variety of people and job functions.

Responsibilities

  • General responsibilities:
    • Provide administrative support to the Site Leadership Team, including scheduling meetings, preparing agendas, taking minutes, and following up on action items.
    • Coordinate travel arrangements, expense reports, and logistics for site leadership members as needed.
    • Manage correspondence and communications, including emails, reports, and presentations.
    • Assist in organizing on-site and virtual events, town halls, and leadership meetings.
    • Maintain accurate records, files, and documentation relevant to site leadership activities.
    • Act as a liaison between site leadership and internal/external stakeholders.
    • Assist with internal communications and employee engagement initiatives in collaboration with HR and leadership.
    • Handle confidential information with discretion and professionalism.
  • Specialized support for investment operations:
    • Collaborate closely with the designated leadership member involved in the company’s ventures arm to support the investment process.
    • Conduct background information check on teams from investments decks;
    • Utilize artificial intelligence tools (e.g., ChatGPT) to synthesize and summarize data.
    • Assist in coordinating and preparing materials for investment-related meetings, calls, and due diligence processes.
    • Monitor and ensure timely responses to inquiries related to investment opportunities.

What We’re Looking For

  • Bachelor’s degree in Business Administration, Communications, or a related field preferred.
  • 3+ years of experience in an administrative or executive support role.
  • Excellent verbal and written communication skills in English and Romanian.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspaces
  • Experience in event planning or project management 
  • Highly organized, analytical, and flexible with shifting priorities
  • Strong business judgment and communication skills needed to interact with a variety of people and job functions, both internal and external
  • Ability to anticipate challenges before they arise and are known as a master organizer and sounding board. Your leadership team often calls on you to get things done
  • You are resilient, thrive in a fast-paced environment, and enjoy supporting a rapidly growing & changing organization
