Job Summary
Barings’ Global Private Finance team is seeking an administrative assistant in its New York, NY office. The level of support varies by teammate, but most includes processing expenses, travel planning & ownership of departmental monthly communication for employees. This role is ideal for someone wanting to provide varied support across multiple business while supporting departmental day-to-day operations and serving as a backup for another departmental Executive Assistant.
Primary Responsibilities
The responsibilities of the role include, but are not limited to:
- Facilitate information flow, including email, phones, voicemail, faxes, mail, other messages and key reports in a timely manner;
- Assist with invoice processing and handling of payment inquiries with Accounts Payable;
- Proactive management of calendar and time;
- International & domestic travel arrangements and expense preparation;
- Gathering, formatting and/or creating information for various reports and presentations;
- Coordination of meeting preparations and arrangements;
- Maintaining and updating spreadsheets and databases as requested;
- Maintenance of confidential and sensitive information.
- Facilitate hybrid meetings to encourage focused discussion and employee engagement
Qualifications
- 3-5 years’ administrative support experience;
- Ability to handle sensitive and confidential information;
- Advanced skill set utilizing Microsoft Office applications (Word, Excel, Power Point, Outlook);
- Demonstrated initiative in solving internal and external customer problems
- Takes ownership and responsibility for tasks
- Strong professional positive attitude with excellent customer service;
- Ability to multi-task and handle shifting priorities. Excellent attention to detail;
- Strong organizational skills;
- Excellent written and verbal communication skills.
