Key Essential Functions and Accountabilities of the Job

  • Provides administrative support to the Board Liaison, which may include interacting with SEARHC Board members, corporate professional staff, supervisors, department heads and agencies/entities.  Develops, implements, and maintains appropriate records and files.  Coordinates travel arrangements for staff and board member. Assists in the distribution of reports.
  • Assists in scheduling internal and external board meetings, coordinating all logistics and details, providing relevant preparation materials, and ensuring appropriate follow-up.
  • Responsible for screening, directing, responding to, and prioritize calls and correspondence, facilitating the smooth exchange of information as a first point of contact for board members.
  • Completes special projects as assigned by the Board Liaison. Projects may involve investigation, research, and collection of data. Compiles data and formulates conclusion into appropriate presentation.
  • Attends meetings as directed by supervisor to record minutes of the meetings and to collect and disseminate applicable information. 
  • Duties may include ordering office supplies, covering reception desk, greeting guests, assisting in mail room, some housekeeping and other duties as assigned by supervisor.
  • Supports the Board Liaison by assisting with any delegated duties as they pertain to board meetings, report preparation and board communications.

Additional Details:

Education, Certifications, and Licenses Required

  • Associate’s Degree in Business Management, Healthcare Administration or other related field is preferred. Relevant work experience may be exchanged for a degree.

Experience Required

  • 2 years office experience working as executive assistant or equivalent position demonstrating an understanding of advanced office functions including computer word processing and spreadsheet applications.

Knowledge, Skills, and Abilities:

Knowledge of

  • Advanced knowledge of computer word-processing applications.
  • Knowledge of computer spreadsheet applications.
  • Knowledge of customer service principles and processes.

Skills in

  • Strong organizational and analytical skills.
  • Strong interpersonal skills.
  • Excellent oral and written communication skills.

Ability to

  • Ability to perform multiple complex administrative processes simultaneously, independently, and with a high degree of confidentiality.
  • Ability to communicate in a clear, concise, and effective manner both in written form and orally.
  • Ability to analyze problems and propose logical solutions while maintaining confidentiality of information and processes.

Computer Skills: 

  • Proficient in Microsoft Office Products including Word, Excel, and PowerPoint

Other Qualifications:     

Travel Required: 

  • Must be able to travel 10% of the time.

Safety and Risk Management Responsibilities: 

  • Employees are responsible for complying with safe work rules; reporting all accidents and injuries immediately; cooperating in all accident and injury investigations; reporting defective equipment and unsafe conditions.

Physical Demands: 

  • While performing the duties of this job, the employee is regularly required to talk or hear.  The employee is frequently required to stand; walk; sit; use hands to finger, handle or feel and reach with hands and arms.

Work Environment: 

  • The noise level in the work environment is usually moderate.
