We are seeking a highly skilled and proactive Administrative Assistant to provide support to senior leaders across multiple teams. This dynamic role requires an entrepreneurial mindset, exceptional organizational skills, and proficiency in PowerPoint and Excel. The ideal candidate will possess outstanding communication abilities, with a knack for anticipating needs, resolving challenges proactively, and managing a diverse range of administrative tasks with precision.  You will contribute significantly to the timely preparation for key events and commitments, all while upholding the highest standards of professionalism and discretion.

What You’ll Do:

  • Support Senior leadership by collaborating with multiple departments and key stakeholders to collect relevant information, prepare comprehensive reports, and ensure that all executive requirements are met efficiently and effectively.
  • Coordinate onsite and offsite events for senior leadership team and/or company events, including agenda management, catering, audio/visual needs.
  • Book and manage all aspects of domestic and international travel, including flights, accommodation, ground transportation, and visas. Ensure seamless travel logistics, providing detailed itineraries and handling last-minute changes if necessary. Coordination includes working with local offices and many other internal key stakeholders.
  • Prepare and track expense reports, create purchase orders and ensure timely submission of invoices for payment
  • Prepare and edit internal and external correspondence, communications, and presentations
  • Complete tasks and special assignments by establishing objectives, determining priorities, managing time, gaining the cooperation of others, monitoring progress, solving problems and adjusting to plans.
  • Prepare presentations, reports, and other materials for the investor relations team
  • Support the communications team as needed

What We’re Looking For:

Requirements:

  • Associate degree required, BA or BS Degree preferred
  • 4+ years of administrative support experience in financial services, technology or information services
  • Experience supporting C-suite executives
  • Expertise in the following tools: Microsoft Office suite (including but not limited to Word, Excel, PowerPoint and Microsoft Outlook email) as well as various tools like travel systems (e.g., Concur) 
  • Superior attention to detail with ability to multi-task and adapt to a changing environment
  • Proven ability to anticipate business needs and priorities
  • Excellent oral and written communication skills and the ability to concisely articulate information
  • Ability to work independently with minimal supervision in a timely manner
  • Proven ability to work well with all levels of internal management and employees
  • Excellent decision-making and problem-solving skills
  • Ability to get things done with a positive attitude
  • Flexibility, interpersonal skills, project coordination, and sensitivity to confidential matters are required.
  • Familiarity with Irwin, Financial CRM software preferred
  • Ability to work a hybrid schedule from an office in Norwalk, CT or NYC

The budgeted amount range for this position in the State of Connecticut and NYC is $76,000 - $95,000
