Essential Duties and Responsibilities:
This position is responsible for the following: Other duties may be assigned.

  1. Perform a wide variety of administrative duties as required by daily operations (order/pickup lunch for meetings, fill in for receptionist when needed, assist with travel arrangements for misc. employees, expense reports, etc).
  2. Coordinate department meetings and schedules; ensure smooth office operations.
  3. Create, maintain, review and/or summarize miscellaneous reports and documents.
  4. Assist with preparation of papers and presentations for the assigned Manager.
  5. Review and evaluate mail to identify those items requiring priority attention of the team.
  6. Independently respond to letters and general correspondence of a routine nature;
  7. Make travel arrangements; maintain appointment schedules and calendars; arrange meetings and conferences for the assigned Manager.
  8. Attend meetings and take minutes as directed by the assigned Manager.
  9. Coordinate purchasing of office supplies, etc. with all department heads (distribute office supplies as needed).
  10. Pick up and drop off US Mail, FedEx, etc. as needed.

Required Education & Experience:

  1. Associates Degree in Business Administration and/or equivalent work experience.
  2. Three (3) or more years experience in office administrative support.
  3. Strong knowledge of MS Office, including Word, Excel, PowerPoint.

Working Conditions:

  1. Must possess mobility to work in a standard office setting and use standard office equipment and be able to attend meetings at various sites within and away from office.
  2. Strength to lift and carry materials weighing up to 20 pounds.
  3. Vision to read printed materials and a computer screen, including the ability to look at a computer screen for at least eight hours each day.
  4. Hearing and speech to communicate in person and over the telephone
  5. Regular exposure to all weather conditions, especially hot, humid and/or rainy weather, combined with regular work time indoors in environmentally controlled conditions

Necessary Equipment Operation:

  1. Copiers, scanners, computers, shredders, postage machine.

Special Skills:

  1. Bilingual preferred (English/Spanish)
  2. Excellent interpersonal and communication skills.
  3. High performance and a strong team player.
  4. Strong Organizational Skills (coordinating projects, setting priorities, meeting deadlines and following up on assignments).
