Essential Duties and Responsibilities:
This position is responsible for the following: Other duties may be assigned.
- Perform a wide variety of administrative duties as required by daily operations (order/pickup lunch for meetings, fill in for receptionist when needed, assist with travel arrangements for misc. employees, expense reports, etc).
- Coordinate department meetings and schedules; ensure smooth office operations.
- Create, maintain, review and/or summarize miscellaneous reports and documents.
- Assist with preparation of papers and presentations for the assigned Manager.
- Review and evaluate mail to identify those items requiring priority attention of the team.
- Independently respond to letters and general correspondence of a routine nature;
- Make travel arrangements; maintain appointment schedules and calendars; arrange meetings and conferences for the assigned Manager.
- Attend meetings and take minutes as directed by the assigned Manager.
- Coordinate purchasing of office supplies, etc. with all department heads (distribute office supplies as needed).
- Pick up and drop off US Mail, FedEx, etc. as needed.
Required Education & Experience:
- Associates Degree in Business Administration and/or equivalent work experience.
- Three (3) or more years experience in office administrative support.
- Strong knowledge of MS Office, including Word, Excel, PowerPoint.
Working Conditions:
- Must possess mobility to work in a standard office setting and use standard office equipment and be able to attend meetings at various sites within and away from office.
- Strength to lift and carry materials weighing up to 20 pounds.
- Vision to read printed materials and a computer screen, including the ability to look at a computer screen for at least eight hours each day.
- Hearing and speech to communicate in person and over the telephone
- Regular exposure to all weather conditions, especially hot, humid and/or rainy weather, combined with regular work time indoors in environmentally controlled conditions
Necessary Equipment Operation:
- Copiers, scanners, computers, shredders, postage machine.
Special Skills:
- Bilingual preferred (English/Spanish)
- Excellent interpersonal and communication skills.
- High performance and a strong team player.
- Strong Organizational Skills (coordinating projects, setting priorities, meeting deadlines and following up on assignments).
