YOUR ROLE

We are seeking a highly organized and proactive Senior Team Assistant to support the Senior Director of Global  Material Development and Supply (GMDSO) and GMDSO team members. This role is crucial in enhancing our operational efficiency and ensuring seamless coordination of business activities. The ideal candidate will possess excellent communication skills, a keen eye for detail, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities:

  • Travel Coordination: Organize and manage business travel arrangements, including flights, accommodations, and itineraries, ensuring a smooth travel experience for the senior director and team members.

  • Scheduling: Maintain and manage calendars, schedule meetings, and coordinate appointments, ensuring effective time management and prioritization of tasks.

  • Event Organization: Plan and execute internal and external events, including team meetings, workshops, and conferences, ensuring all logistics are handled efficiently.

  • Budget Management: Assist in managing departmental budgets, tracking expenses, and preparing financial reports to ensure adherence to budgetary guidelines.

  • Process Improvement: Identify opportunities to streamline and improve work processes, contributing to the overall efficiency and effectiveness of the team.

  • Administrative Support: Provide general administrative support, including document preparation, correspondence, managing purchase orders and maintaining organized files and records.

Job Qualifications

YOUR PROFILE

  • Proven experience as an executive assistant, administrative assistant, or similar role, preferably in a corporate environment.

  • Strong organizational skills with the ability to manage multiple tasks and projects simultaneously.

  • Excellent written and verbal communication skills in German and English.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Coupa, SAP Concur and familiarity with project management tools.

  • Strong problem-solving skills and a proactive approach to work.

  • Ability to maintain confidentiality and manage sensitive information.

  • Growth mindset and openness to learn and apply new skills in particular in the area of digitalization of work processes and AI
