The Surety Division is seeking an experienced Administrative Assistant to work in its home office location in Cincinnati, OH. This position will work with the senior underwriting leadership of the surety division and will provide administrative support in all areas related to contract and commercial surety underwriting.
Key Accountabilities/Deliverables:

Opens and scans daily mail, files mail, and updates electronic records.

Processes closed files – including maintaining an inventory list of files in storage and facilitating the retrieval of and reclosing of files upon request.

Handles incoming phone calls and messages for home office staff.

Provides customer service to internal and external customers.

Maintain indemnity and collateral records.

Maintain Division wide organizational materials and team communications.

Perform office management activities including coordinating equipment purchases and assist with IT coordination.

Assist with planning and organizing large team events including arranging catering, securing meeting rooms, and coordinating travel arrangements.

Provide executive support including managing meetings, calendars, travel arrangements, and other administrative tasks as needed.

Support internal teams with administrative capacity such as updating quarterly files, coordinating search letters for uncashed checks, supplier onboarding, and others.

Prepare reports, presentations, or communications as needed.

Perform other duties as assigned.
Technical Knowledge and Understanding:
-
Proficiency in Microsoft Word, Power Point, Excel, and Outlook.

Excellent organizational and time-management skills.

Strong communications and interpersonal abilities.
Experience:
-
Minimum of a High School Diploma or GED required.
-
Previous administrative experience in the financial industry required, with prior insurance industry experience a plus.

Microsoft word processing, spreadsheet, power point, and data entry skills.

Detail-oriented individual with strong organizational skills.

Ability to handle confidential and sensitive financial and personal information.

Ability to work onsite in Cincinnati, OH office location.
