Serán BioScience is seeking an Administrative Assistant to share in administrative responsibilities to support a variety of business functions. The Administrative Assistant is the first point of contact for visitors and clients, and provides general administrative support to all departments. Successful applicants will exhibit key organizational skills, be highly motivated and self-directed, and present strong customer service for internal and external clients with a high degree of professional aptitude. Confidentiality is a critical skill for the right candidate, as support for Human Resources will be one department this role will be largely supporting, along with Quality Control, Quality Assurance, Facilities, and Finance.

Duties and Responsibilities

  • Assist Business Administration department hosting and coordinating company guests, including clients, vendors, and candidates
  • Monitor front door reception area and greet/escort clients and other visitors 
  • Place orders and keep departments stocked with office and laboratory supplies; maintain supply request forms 
  • Assist facilities department with scheduling vendors
  • Monitor documents, including mail and incoming packages, with prompt notification to recipients of package delivery 
  • Interact with other Serán sites(within a 2-3 block radius) for client and vendor coordination
  • Assist in setting up onsite interviews and travel arrangements for candidates 
  • Assist with scheduling meetings and general assistance with Directors' and conference space calendars as needed
  • Order catering for events
  • Assist with general administrative tasks as needed
  • May assist with new hire onboarding
  • May assist in additional Human Resources related tasks with a high level of confidentiality
  • Maintain general cleanliness of reception areas and conference rooms
  • Other related duties as assigned

Required Skills and Abilities

  • Professional and friendly demeanor
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office Suite or related software (3 years preferred)
  • Ability to learn quickly and respond/react to changing priorities, in a fast-paced environment
  • Excellent time management skills and dedication to task completion

Education and Experience

  • High school diploma or equivalent
  • At least one year of experience working in a client-facing administrative role

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift up to 15 pounds at times
