Remote position (only for professionals based in Latam)
RYZ Labs is looking for an Administration Operations Associate for one of our clients. The primary responsibilities include processing billing, creating recaps, and handling various administrative tasks that support the Account Management team. This role requires a proactive and independent individual with strong organizational skills. You will ensure the highest level of customer service to each of the client's partners so that they have the best possible experience that keeps them coming back. To do this, you’ll become an expert in their business, product, and event sponsorship technology, and understand the team’s pain points and processes to help create solutions to solve them.
Responsibilities:
- Support and partner with an Account Coordinator and Account Manager on multiple accounts
- Ensure Organizers have all payment information including W9s and are onboarded into our payments platform to ensure timely payments
- Follow up with Organizers as needed to collect recaps
- Process timely payments for recaps that meet all requirements
- Process timely vendor credits for recaps that are not received on time or do not meet the requirements
- Help create recaps for brands as needed
- Become an expert at using their product and make recommendations for improvements
- Become an expert in converting early customers to power users of their platform
- Provide input on ways it can streamline processes and execution
- Quality check product to ensure all aspects of the product function properly and are as intuitive as possible
- Correspond with event organizers to ensure prompt responses
- Proactively troubleshoot bugs and eliminate waste from the systems
- Navigate an ambiguous, low oversight role and thrive in uncertainty by applying a bias towards proactive problem-solving
Requirements:
- At least 1-2 years of previous experience in a similar position in administrative or account management
- Strong attention to detail, organized and driven
- Ability to meet strict deadlines
- Ability to work in a fast-paced environment
- Exceptional professional communication skills, having strong English both oral and written, for internal teams and clients
- Passionate about improving our user experience and relations
- Must be a self-motivated individual with an entrepreneurial mindset
- Team player that has a can-do-anything mentality
- Strong understanding and experience in Microsoft Excel and Google Sheets with creating formulas and processes (Vlookup, Sumif, Countif, etc)
- Strong understanding and experience using the Google Suite
- Previous experience working in the events industry or coordinating partnerships (*bonus if you have experience coordinating event sponsorships)
- Previous experience with Asana or other Project Management tools is a plus
A Day in The Life:
- Creating and maintaining documents and project management software to track statuses, approvals, and timelines
- Ensure recaps from our Event Organizers are completed on time and contain the necessary requirements
- Answering Event Organizer questions to provide a high level of customer service
- Support Account Coordinator and Account Managers in developing and implementing account strategies to achieve client objectives and maximize client satisfaction
- Compile and create comprehensive brand recaps based on provided data and information
