PURPOSE AND SCOPE
Working as a key member of the Vesta program and reporting directly to their supervisor, this role is critical in supporting business operations through a broad range of administrative and executive functions. The position will primarily focus on the administrative responsibilities of the Vesta program, including project delivery support, report compilation and analysis, database management, and the development, implementation, and execution of various tasks that directly contribute to the program’s success.
Additionally, the role will be responsible for document retention and review processes to ensure compliance with internal and external requirements, as well as maintaining and updating various website and online platforms. This role will also perform high-level executive assistant duties that include preparing correspondence and reports along with providing day-to-day support to leadership in support of the Vesta program.
ESSENTIAL RESPONSIBILITIES

1. Prepare and create accurate and consistent reports, documents, and meeting
materials as directed by the Property & Leasing and Administration Supervisor or
Program Management. Contribute to writing, interpreting, reviewing and
dissemination of administrative and operations procedures. 15 X
2. Serve as the focal point in the maintenance and administration of
internal/external databases and internet facing webpages. 10 X
3. Be able to undertake and understand all tasks undertaken by the Administration
Support Officers. 10 X
4. Support the Administration Support Officers in their daily operational duties, as
well as providing support to various committees, working groups and project
control groups as required. 10 X
5. Working under the guidance of the Property & Leasing and Administration
Supervisor, execute tasks and objectives independently with minimal
supervision. 5 X
6. Undertake various administrative tasks as requested by the Program and
Operations Manager 10 X
7. Maintains record management systems and verifies that records are true and
current by reviewing and interpreting documents, deciding on the most logical
and accessible place to file and classify each record. 10 X
8. Work across multiple SAP transactions to support metrics and business
requirements for the program. 10 X
9. Proactively identify opportunities for efficiency and collaborating seamlessly with
team members to streamline process and procedures to achieve objectives. 10 X
10. Provides a range of efficient, proactive, and reliable project and program support 5 X
services including project delivery support, customer engagement and administrative services.
11. Ensure compliance with all environmental, health and safety requirements. - X

QUALIFICATIONS
Minimum Essential Desirable
· Certificate IV, Level Qualification or higher plus
at least 2 years’ experience
· Knowledge of computer software and applications
· Works with minimal supervision and experience
working as part of a dedicated team
· Writing and developing polices & procedures
· Strong communication and interpersonal abilities
· Experienced administrative abilities · Functional level SAP experience · Records management experience · Capability to develop innovative solutions

WORK ENVIRONMENT, PHYSICAL DEMANDS, AND MENTAL DEMANDS
· The position is desk based and sedentary in nature, the ability to lift items up to 5kgs may be required occasionally.
SECURITY CLEARANCE REQUIREMENT
It is a condition of employment at JDFPG that employees obtain and retain the appropriate level of security clearance and medical clearance applicable to each role. The employee will require a Negative Vetting (NV1) Department of Defence Security Clearance (Australian) or Secret (U.S.) clearance.
STATEMENT OF WORK REQUIREMENTS
All personnel assigned to work at JDFPG shall be:
· At least 18 years of age.
· Able to fluently read, write and speak English
EHS REQUIREMENT
All Amentum personnel are responsible for understanding and complying with all site environmental, health and safety requirements. · Must promote and display strong adherence to safety process
· Must actively encourage and promote worker engagement in all aspects of safety management
· Must actively strive for continuous improvement in safety systems including
o regularly inspecting work methodologies for areas of improvement
o regularly inspecting personal risk assessments for completion and relevance
o Actively encouraging improvement feedback from workers
