Role Purpose
The Technology Team Coordinator provides essential business and administrative support to the entire Technology department, ensuring smooth operations and effective coordination across teams and regions. This role facilitates communication, supports global events and initiatives, assists the Technology Leadership Team in executing strategic objectives, and manages the billing and invoicing process for technology systems. By streamlining administrative processes, overseeing financial workflows, and fostering cross-functional collaboration, the Technology Team Coordinator plays a critical role in the efficiency and success of the department.
Responsibilities and Objectives
Administrative & Operational Support
- Provide comprehensive administrative support to the Technology Leadership Team.
- Coordinate complex calendars, scheduling, and meeting logistics for Technology leaders.
- Maintain accurate records, manage documentation, and oversee administrative tasks, as required.
Meeting & Project Support
- Facilitate and support key cross-department and leadership meetings, including the Tech People People, Technology Leadership Team and System Ownership meetings.
- Take notes, track action items, and ensure timely follow-ups.
- Prepare materials and coordinate submissions for Technology All Hands and other cross-department meetings.
- Provide light project management support, tracking tasks and communicating progress using relevant tools.
Billing & Invoicing Administration
- Manage the billing and invoicing process for Technology systems.
- Liaise with the Finance team to ensure accurate tracking, timely payments, and financial alignment.
- Assist with other finance administration tasks, as required.
Event Coordination
- Support the planning, logistics and coordination of key technology division events, including internal knowledge sharing, meet-ups, workshops and Connect events.
Team Collaboration & Communication
- Support onboarding administration for new hires within the Technology department.
- Monitor and manage team schedules, including holidays, availability, and time management.
- Serve as a liaison between Technology, Facilities, People, and Finance teams for administrative and operational tasks.
Workplace Health and Safety
- Be aware and accountable to your responsibilities in relation to workplace health and safety obligations.
Key Skills
- Proficiency in collaboration tools (Google Workspace, Slack, Zoom) and project management tools.
- Strong data analysis and reporting skills using Google Sheets or similar tools.
- Exceptional organisational and time management skills, with strong attention to detail.
- Ability to handle multiple tasks simultaneously, ensuring accuracy and efficiency.
- Excellent written and verbal communication in Spanish and English (additional languages are a plus).
- Independent, proactive, and adaptable, with a problem-solving mindset.
- Strong interpersonal skills, with ability to work effectively across diverse cultures and timezones.
- Team player with a positive, can-do attitude.
Knowledge and Experience
- 2+ years of experience in administrative or support roles, preferably in a technology or global environment.
- Basic understanding of financial processes, including billing and invoicing administration for SaaS systems.
- Experience in internal communications and stakeholder coordination.
- Experience in event planning and organising team logistics and scheduling.
