Job Title
Sr. Executive AssistantResponsible for providing professional administrative support to at least one C-Level executive; understand high level company procedures and has the ability to resolve complex issues of an administrative nature.
Job Responsibilities:
- Independently provide high level administrative support to executives including managing calendars of appointments; completing expense reports; composing and preparing correspondence that may be confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
- Plan, coordinate, and ensure the executives schedules are followed and respected. Provide "gatekeeper" and "gateway" role, creating win-win situations for direct access to executives’ time and office.
- Compose correspondence requiring knowledge of executives’ views, philosophy, and some understanding of technical matters, may sign for executive when technical or policy content has been authorized.
- Proofread and correct prepared materials for grammar, spelling, punctuation, format, syntax, and content.
- Requisition needed supplies, equipment, and repair and maintenance services through agency channels as needed.
- Work cooperatively with other administrative assistants and other employees at various levels throughout the organization.
- Welcome visitors, answer questions and meeting requests directed to executives.
- Summarize the content of incoming materials, specially gathered information, or meetings to assist executives; coordinate the new information with other sources; draw attention to important matters or areas of conflict.
- Respond to project requests that are of an administrative nature.
- Research, prioritize, and follow up on incoming issues and concerns addressed to the executives, including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response.
- Provide a bridge for smooth communication between the executives’ offices and internal departments; demonstrate leadership to maintain credibility, trust, and support with senior management staff.
- Work closely and effectively with the executives to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the executives updated.
- Achieve high performance goals and meet deadlines in a fast-paced environment.
- Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.
- Assist and/or perform in any and all areas as assigned.
Job Requirements:
Education & Experience:
- College degree or equivalent experience plus minimum of five (5) years’ related experience supporting C-Suite level Executives.
Functional/Technical Knowledge, Skills & Abilities:
- CAP-OM or CAP certification preferred.
- Highly proficient in Microsoft Office (Outlook, Word, Excel, and Power Point).
- Proficient in Adobe Acrobat Pro.
- Knowledgeable in creating and updating complex organizational charts; preferably knowledge with Org Plus software.
- Exhibit strong interpersonal and organizational skills, great attention to detail, as well as excellent listening, verbal, and written communication skills.
- Must be able to work with a diverse variety of people from different cultures and backgrounds.
- Able to balance directing and influencing others with a service mentality and approach.

Target Hiring Range
Annual Salary: USD 80,532.00 - USD 106,303.00
