About the Role:

Supports broader Market Access Organization and works with general guidance from the team to progress appropriate projects and coordinate of all department contracting, PRC Submissions, budget tracking, sponsorship activity and other activities as assigned. Oversees team Calendar and logistics associated with team and cross-functional meetings. Creates and edits Excel, PowerPoint and other project documentation in support of brand initiatives.

Your Contributions (include, but are not limited to):

  • Manages contract coordination including submission all meeting materials in Veeva CRM for legal review and approval, contracting with associations to secure the sponsorship and supporting the team with logistical details as needed

  • Creates and manages coordination of field communication across market access initiatives

  • Manages Marketing team calendars, rosters, and shared documents on company intranet website (SharePoint)

  • Oversees and manages all aspects of the market access new hire process and on-boarding by working closely with numerous functional heads

  • Works closely with the entire Market Access department to develop annual budgets as well as budget tracking and submission of accruals

  • Coordinates financial processes, CDA’s, MSA’s, Work Orders, Invoices, managed multiple cost centers, vendors, internal routing (Coupa/Agiloft), creates and maintains annual cost analysis spreadsheet

  • Plans and executes multiple planning meetings, development workshops and offsite events

  • Supports the Market Access Department by being available to answer questions and provide direction to internal resources

  • Provides complex, diverse and confidential administrative duties for Executive Director to ensure alignment of the department

  • Maintains calendars, schedules meetings, sends Outlook calendar appointments, reserves conference rooms, and coordinates logistics for meetings, including audio/visual needs, presentations, and food and beverage catering

  • Collects and prepares information for use in discussions and meetings with staff and outside individuals as well as department team

  • Coordinates, creates, edits and assembles slides for presentations and provides assistance with collecting and effectively presenting executive-level information

  • Arranges department and group meetings (e.g., weekly Leadership Team meetings, staff meetings, periodic off-sites) ensuring all necessary information is available for discussion. helps track department level projects, activities and results

  • Compiles expense receipts and completes and submits reports for expense reimbursements and credit card charge processing/validation to the accounting department as needed

  • Other duties as assigned

Requirements:

  • BS/BA degree in marketing, communications, or life sciences and 4+ years of department coordination experience working with senior management within marketing or sales, as well as customers, vendors, and other visitors, preferably within a commercial team. Requires experience with calendar management, project meeting and event planning and execution, preparation of executive level presentations, travel and expense report administration
  • Prior experience in a biotech/life science, pharmaceutical or related industry preferred
  • Demonstrated ability to build and maintain cross-functional partnerships to achieve company goals
  • Excellent communication and presentation skills. Able to communicate verbally and in writing in a professional manner at all levels of the organization and with external contacts
  • Customer-focused with proven negotiation, analytical problem solving and training skills
  • Detail oriented, ability to multi-task, and work at a fast pace with a high degree of accuracy
  • Comfortable dealing with ambiguity
  • Continuous improvement mindset to develop new processes or enhance existing ones
  • Strong organizational, time and project management skills
  • Ability to work independently and accomplish goals with minimal supervision
  • Understanding of data analysis and forecasting methods
  • Advanced computer skills in Word, Excel, PowerPoint
  • Ability to create and edit complex PowerPoint and other project documentation using Microsoft Office programs

The annual base salary we reasonably expect to pay is $101,200.00-$146,550.00. Individual pay decisions depend on various factors, such as primary work location, complexity and responsibility of role, job duties/requirements, and relevant experience and skills. In addition, this position offers an annual bonus with a target of 20% of the earned base salary and eligibility to participate in our equity based long term incentive program. Benefits offered include a retirement savings plan (with company match), paid vacation, holiday and personal days, paid caregiver/parental and medical leave, and health benefits to include medical, prescription drug, dental and vision coverage in accordance with the terms and conditions of the applicable plans.
