As a Sales Operations Specialist, you will provide vital support to the Sales Team by managing and optimizing the sales operations function, including overseeing the new Deal Desk process, creating and maintaining reports, managing dashboards, ensuring data integrity, supporting the Sales Team with administrative tasks, and optimizing sales processes. This role is essential for driving sales efficiency, supporting the Team's use of sales technology, and addressing technical or process-related issues.
Roles and Responsibilities:
Data Management & Integrity
- Ensure the accuracy, completeness, and integrity of all sales data in the CRM system (HubSpot).
- Regularly clean, update, and maintain the CRM to ensure data quality.
- Create and maintain reports and dashboards to track sales performance, pipeline, and forecasting metrics.
Deal Desk Support & Review
- Manage and review sales deals as part of the Deal Desk process, ensuring proper pricing, configurations, and contract compliance.
- Approve deals based on established guidelines and ensure all necessary documentation is in place for deal closure.
Sales Process & Quote Support
- Assist the sales team with the quote generation process, including pricing, configuration, and terms, ensuring compliance with company standards.
- Work with sales reps to ensure smooth deal progression from quote to close.
Sales Documentation & Contracts
- Manage sales documentation, including contracts, proposals, and other sales-related paperwork.
- Ensure timely storage, retrieval, and compliance of sales documents.
Sales Technology & Tools Management
- Oversee the sales tech stack, including CRM, sales enablement tools, and integrations.
- Troubleshoot issues with sales tools and platforms, providing first-tier support to the sales team.
- Monitor and ensure system adoption, working with sales reps to increase tool utilization.
Reporting & Analytics
- Create regular reports and insights into sales performance, pipeline status, and forecasting.
- Analyze data to identify trends and provide actionable recommendations to improve sales effectiveness and efficiency.
Process Optimization & Troubleshooting
- Identify bottlenecks and inefficiencies in sales processes and implement solutions to improve workflow.
- Work closely with sales leadership to ensure processes are continuously optimized for better productivity and results.
Administrative Support
- Provide general administrative support to the sales team, including managing calendars, organizing sales meetings, and assisting with other ad-hoc tasks.
- 1-3 years of experience in Sales Operations, with a strong focus on data management, sales process optimization, and sales technology tools
- Proficiency in CRM systems (HubSpot preferred) and other sales operations tools (e.g., Excel, reporting platforms). Ability to troubleshoot technical issues and manage integrations
- Strong written and verbal communication skills, with the ability to work collaboratively across teams.
- Exceptional attention to detail, with a focus on data integrity and process efficiency.
- Ability to identify issues and propose effective solutions in sales processes and technology usage.
- Comfortable with the latest sales technology and software, with a strong interest in staying up-to-date with new tools and trends.
- Ability to collaborate effectively with sales reps, sales leadership, and cross-functional teams.
