GENERAL PURPOSE OF JOB:
The Special Projects Coordinator is responsible for coordinating support for the OD Department and Sr. Director of OD. Assists in the overall coordination of numerous employee training events with the OD staff. Performs a variety of secretarial and administrative support duties to assist the OD Sr. Director, OD Coordinators, and OD staff with hospital-wide special projects and ensure smooth
operation of the Organizational Development department.

- • Uses Microsoft Office to perform a variety of assignments. Gathers data and other necessary information for preparing various reports. Types and reproduces written materials or correspondence.
- • Coordinates location, catering, presentation materials, audio-visual support and notification of meetings, appointments, conferences, telephone calls, etc. Records/transcribes meeting minutes from various meetings.
- • Answers/screens incoming telephone calls and routes call to appropriate individual or takes messages as appropriate. Responds to inquiries and requests for services provided by the Organizational Development department.
- • Opens, sorts and distributes incoming mail. Uses tube system to send or forward written materials to other parts of the hospital. Utilizes couriers, the US Mail and delivery services as needed.
- • Responsible for ordering material and supplies for new and ongoing OD projects and events.
- • Responsible for preparation of requisitions for office/training supplies and equipment.
- • Maintains files for all Special Purchase Requisitions and corresponding Purchase Orders and other related documentation.
- Responsible for making travel arrangements for OD staff including all necessary paperwork, reservations, check requests, travel reimbursements, etc.
- • Handles the submission of service tickets/requests for various departments,
- including marketing, IT, and maintenance.
- • Assists OD staff with concur reimbursements.
- • Assists with logistics and participation in system wide special events.
- • Maintains utmost level of confidentiality at all times.
- • Adheres to hospital policies and procedures.
- • Demonstrates business practices and personal actions that are ethical and adhere to corporate compliance and integrity guidelines.
- • Maintains composure, effectiveness, and flexibility under pressure.
- • Minimum Travel to Satellite locations and RGV Hospital.
EDUCATION AND/OR EXPERIENCE:
Associate's degree (A. A.) or equivalent from two-year college or technical school; or 1-2 years of secretarial, clerical, or administrative experience and/or training; or equivalent combination of education and experience.
