Overall Mission
The Senior Logistics Coordinator is responsible for organizing international outbound shipments in line with temperature control requirements and the Group QA & EHS policies. They are accountable for the most appropriate transport solution in accordance with Bluebird Express’/CRYOPDP’s premium service offer and the customer's requirements: route, sustainable mode of transport (air, train, road, multimodal), transit time and cost.
Main Contribution
- Provide operational excellence
- Coordinate and arrange export freight with Bluebird Express and CRYOPDP’s overseas office, U.S. agents and partners
- Coordinate all activities and all documents including; set up files for pre-alerts received, maintaining customer updates, preparation of export documents for customs broker, selection and dispatch agents or LSPs, arrange delivery to customer, check status on shipments, check PODs and charges, track cargo from origin to final destination, follow up shipments for final ETA date
- Prepare export documentation in accordance with U.S. regulations and in compliance with government agencies for each shipment
- Utilize in-house systems to produce shipping documentation
- Coordinate routing of all export shipments and send pre-alerts to destination offices and agents in a timely manner
- File invoices and bills (transfer all information required for ensuring the accuracy of the billing process)
- Coordinate tasks on shipments to meet customer SOP requirements such as booking approvals, processing pre-alerts, governmental filings, executing delivery, ensuring proper invoicing, etc.
- Maintain operational housekeeping to ensure the shipping file is updated accordingly, including but not limited to, posting flights and PODs into CARGOWISE (operations platform), entering consignment notes into CARGOWISE and monitoring shipment progress/update milestones in CARGOWISE
- Liaise with Bluebird Express/CRYOPDP vendors for updates, cost, routing options etc.
- Utilize effective interpersonal skills with the ability to relate to internal peers at different levels as well as external customers and vendors
- Ensure the growth of retained customers to maximize / increase amount of business carried for every customer
- Ensure that all queries and complaints are investigated and responded to promptly, both from external/internal customers and suppliers under the direct supervision of the Logistics Manager, while guaranteeing the efficient response to customer issues & complaints
- Showcase unique service features of Bluebird Express/CRYOPDP to increase value add solutions to customers
- Increase dependency for customers to ensure Bluebird Express/CRYOPDP are the sole provider they use across all modes
Working hours
- Monday - Friday: 8:00 AM - 5:00 PM
- Due to the nature of our 24/7 operation you will be required to assist with occasional after hour coverage. Start times may vary.
- Employee may be required to work overtime, holidays, or weekends.
Specific Experience & Knowledge Required
- Experience working within the Pharma or Healthcare industry
- Compliance experience with GDP, HMRC, MHRA, IATA, CAA guidelines
- Knowledge of Dangerous Goods regulations, passenger, and cargo airlines
- Import/Export license and demonstrated experience with Controlled Drugs
- U.S. Customs regulations compliance
- Commercial acumen (customers/performance profitability)
- An understanding of INCOTERMS

Required Skills
- Minimum of 5-10+ years’ experience in the airfreight sector and knowledge of the air industry;
- Minimum of 5-10+ years’ experience in cold chain logistics and temperature-controlled logistics solutions;
- Minimum 5-10+ yrs experience in all aspects of logistics including, but not limited to, Air Import/Export, Ocean Import/Export, Ground, Dedicated Drive, FTL/LTL.
Compensation: up to $70K annually, commensurate with experience
