About the role:
We're on the lookout for a dedicated and professional Receptionist / Business Support to be the cornerstone of our office operations. In this role, you'll support key stakeholders, provide administrative assistance, and ensure seamless office functionality. With service excellence at the heart of everything we do, you'll help create a smooth, paperless experience for both internal and external clients.
What You'll Be Doing:
Your day-to-day will include a variety of responsibilities to keep our office running efficiently and ensure exceptional client experiences:

  • Switchboard Management: Handle our Webex telephone system to answer and forward calls effectively, and work closely with the Jersey reception team to ensure coverage when needed.
  • Front of House & Client Suite Duties: Be flexible in covering reception, greeting visitors, and assisting with occasional out-of-hours events.
  • Meeting Coordination: Arrange light refreshments and food orders, maintain the cleanliness and readiness of meeting rooms, and manage crockery post-meetings.
  • Stock Management: Conduct weekly checks on stationery, consumables, and refreshments, ensuring supplies are well-stocked.
  • Visitor Management: Train new joiners on the Envoy Visitor Management system, register visitors, contractors, and couriers, and provide them with a warm welcome.
  • Post & Courier Handling: Register incoming and outgoing deliveries, track proofs of delivery, and manage invoices for recharges.
  • Office Organisation: Keep the storeroom accessible and safe while managing branded stationery orders and external messenger services.
  • Event Support: Assist with event planning in Guernsey and beyond.
  • General Administrative Support: Help the Office Manager, HR, and Global Facilities teams with projects and ad hoc tasks.

  • Experience: Previous experience in a similar role, ideally with familiarity using Webex and Envoy systems.
  • Skills: Strong organisational and planning abilities, outstanding attention to detail, and the ability to manage your workload independently.
  • Flexibility: Adaptability to manage changing priorities and support across time zones when required.
  • Communication: Excellent interpersonal skills for engaging with clients, contractors, and colleagues alike.
  • Confidentiality: A professional approach to handling sensitive information securely.
