About the Role 

At Ogilvy Health, our Project Management Office drives seamless project execution, process improvement, budget management, and resource allocation across the agency. Our Project Managers assemble and lead diverse teams, ensuring projects adhere to established workflows, schedules, and budgets, ultimately delivering exceptional results for our clients. We're currently seeking a highly organized and motivated Project Coordinator to join a large-scale, fast-paced pharmaceutical AOR account. This dynamic role offers an exciting opportunity to learn the intricacies of healthcare advertising and project management in a vibrant agency environment where no two days are alike. The ideal candidate is a detail-oriented, process-driven self-starter eager to contribute to a collaborative team.

What You’ll Do

•    Track projects through agency from implementation to execution stages
•    Support adherence to project timelines by working with the team to meet milestone dates for project completion by their deadlines
•    Update timelines, resource plans, and status documents for agency as needed
•    Coordinate submissions for regulatory review and handoff to Regulatory Operations
•    Perform administrative oversight of projects via financial and project management systems
•    Monitor and route jobs through digital workflow system to ensure that they stay on task and on time
•    Maintain and archive clean historical record of project workflow
•    Schedule and assist SPMs/PMs in facilitating internal status meetings and reviews
•    Keep teams informed of all project status and next steps via daily status documents and planned or ad-hoc meetings
•    Advocate and champion agency processes
•    Develop strong and positive working relationships with team members and project stakeholders, while maintaining adherence to objectives, process, and timelines

What You’ll Need:

•    Previous project management and project planning experience a plus
•    Computer proficiency required, experience with MS Suite (Word, Project, Excel, PowerPoint) and Acrobat Professional
•    Ability to collaborate closely with others in a team environment under tight deadlines in a fast-paced environment
•    Outstanding communications (written and verbal) and interpersonal skills
•    Detail-oriented and proactive problem-solving skills
