Position Overview:
This position is responsible for overseeing all daily mailing needs and print production for various locations, including Worldwide, Prescott, and Daytona campuses. Key responsibilities include managing daily and weekly mailings, ensuring proper list cleaning through USPS software for efficient and accurate mailing, and maintaining up-to-date knowledge of USPS regulations and specifications. This role also handles variable data printing, envelope printing, and bindery operations.
This role is integral in ensuring the efficient and accurate operation of the print studio, supporting the successful delivery of print materials, managing student staff, and maintaining quality standards in both print production and shipping.
Primary Job Functions, Duties, or Accountabilities:
Mailing & Data Management:
- Manage daily and weekly mailings for Worldwide, Prescott, and Daytona campuses.
- Clean mailing lists using USPS software to ensure efficient mailing at the proper rates.
- Ensure compliance with USPS regulations and mailing specifications.
- Handle variable data printing, including artwork and envelope printing for all mailings.
Supervision & Student Management
- Supervise 6-8 student employees each semester, including Summer A and B semesters.
- Assign daily and weekly tasks to students to meet mail drop deadlines and campus due dates.
- Oversee inventory work, including preparing packets for future mailings and organizing work for student drivers.
Print Production & Equipment Management
- Operate and maintain four-color printers, including light maintenance and software updates.
- Manage small production digital press for NCR forms and other print jobs.
- Perform quality control checks on printed materials to ensure the correct quantity and print quality.
- Perform routine calibrations and maintenance on the large paper cutter and other bindery equipment.
Bindery Operations
- Handle all bindery needs, including cutting, scoring, perforating, folding, hand inserting, binding, coil binding, and laminating.
- Write and program jobs for cutting, scoring, and perforating tasks.
- Perform final quality control checks on all finished print work, ensuring accuracy and quality.
Shipping & Packaging
- Manage the packaging and shipping of all on-campus deliveries and UPS/USPS packages, including both domestic and international shipments.
- Create and prepare all necessary USPS paperwork for daily mailings.
- Complete customs paperwork for international shipments to Worldwide locations.
- Maintain proper inventory of envelopes, shipping boxes, and other bindery supplies needed for production.
Qualifications
Required Skills, Knowledge, and Abilities:
- Strong understanding of Direct Mail processes
- Experience with cleaning data lists for mailings
- Knowledge of mail sorting and USPS regulations to avoid penalties
- Understanding of Every Door Direct Mail (EDDM) processes
- Familiarity with PC Postage, Meter, and permit printing systems
- Ability to track and analyze direct mail campaigns
- Proficiency in Excel for data editing and manipulation
- Experience using USPS software to clean mailing lists
- Expertise in using Direct Mail software to lay out variable data on printed pieces and/or envelopes (e.g., Print Shop Mail, XMPIE, FusionPro, etc.)
- Knowledge of operating, repairing, and maintaining envelope printers and production digital presses
- Strong understanding of bookbinding processes and equipment
- In-depth knowledge of bookbinding equipment and techniques
- Familiarity with production-sized Hydraulic Paper Cutters
- Ability to learn software to program cutting, scoring, and perforation jobs on a Graphic Wizard machine
- Good understanding of UPS software for domestic and international shipments
- Knowledge of customs paperwork for shipments to military bases overseas
- Strong supervisory skills to manage 6-8 students each semester for daily mailing needs
- Excellent organizational skills to guide the production of printed materials for a team of 6-8 students
- Solid inventory management skills for paper inventories and production supplies
- Working knowledge of InDesign, Acrobat, and Illustrator software
