We are seeking a detail-oriented and experienced Payroll, Tax, and Accounting Specialist to optimize our payroll and HR accounting processes, ensure tax compliance, and support accounting operations. This role requires expertise in payroll, payroll systems, tax laws and regulations, accounting and reconciliations, along with the ability to work collaboratively in a fast-paced environment.
Payroll Tax Responsibilities
- Execute payroll tax processes accurately and on time.
- Oversee third party tax service provider to ensure effective and timely resolution to tax related notices, amendments, quarter end files, year-end files, etc.
- Manage quarterly and year-end payroll processes, ensuring accuracy. Review and reconcile ADP quarter end reports, resolving exceptions and discrepancies.
- Support year-end payroll processing, ensuring accuracy of Form W-2s by taking the lead in reviewing error reports, box requirements, and other related compliance items.
- Manage agency notices and work with third party to resolve.
- Serve as point of contact for payroll-related tax audits and inquiries from regulatory bodies, ensuring proper documentation.
- Collaborate with external tax advisors as needed and support senior executives with tax information, as needed.
- Stay up to date with all federal, state, local employment and tax laws and regulations, ensuring compliance. Maintain tax updates in Workday.
- Keep up to date on payroll tax changes in Workday.
- Perform payroll tax Account reconciliations after each payroll.
- Manage escalated payroll queries related to payroll tax and ensure timely resolution.
Payroll/HR Accounting Responsibilities
- Support global payroll operations team on federal, state or local set up for employees with special tax needs.
- Manage global HR and payroll invoicing processes, including but not limited to invoice creation, review, approval, and payment processing for both domestic and international vendors.
- Collaborate with HR teams for invoice processing. Maintain accurate records of all HR financial transactions and expenses that are required to be tracked.
- Reconcile HR and payroll accounts.
- Reconcile and process international benefit invoices.
- Conduct periodic audits of global HR, payroll or financial data to identify errors, discrepancies, or potential areas for improvement.
- Support payroll reviews and validations of domestic and international payroll.
- Manage the Starr Matching Gifts Program.
- Serve as a point of contact for internal and external auditors during global HR/payroll audits.
- Stay informed about relevant accounting standards, regulations, and industry best practices related to HR finance.
- Participate in cross-functional HR projects and initiatives, providing financial expertise and insights as needed.
- Perform data analysis to identify trends and potential cost-saving opportunities.
- Participate in year End/Year Start projects
Qualifications:
- Bachelor’s degree in Accounting, Finance, or related field preferred.
- 3-5 years of experience in payroll, tax and accounting or financial analysis.
- Experience with Workday and ADP Smart Compliance.
- Must be well versed in all aspects of payroll processing, including payroll production, quarterly reconciliations, year-end processing, tax filings, etc.
- Solid understanding of accounting principles and practices.
- Advanced Microsoft Excel skills.
- Strong attention to detail, ability to work independently and collaboratively, strong organizational skills, and deadline driven.
- Ability to manage multiple priorities and deadlines effectively.
- Excellent communication and interpersonal skills.
- Analytical mindset with problem-solving skills.
- Ability to maintain confidentiality of sensitive information.
