The Impact You’ll Make in this Role
The Payroll Specialist plays a key role by reviewing queries of moderate scope and complexity, ensuring accurate and timely payroll services across multiple countries. This position directly impacts critical areas such as payroll processing, payroll accounting, payroll expenses, social security, and taxes, while ensuring compliance with all statutory requirements. Additionally, the Payroll Specialist is responsible for identifying opportunities for continuous improvement within the payroll team.
Works under minimal supervision, contributing to and implementing payroll policies and procedures. The role involves administering the preparation, documentation, and disbursement of paychecks, taxes, and benefit payments. The Payroll Specialist continuously improves payroll processes and programs through evaluation efforts, technology solutions, and centralized shared services.
Key Responsibilities:
- Provide operational, systems, services, and project management support to the Payroll team.
- Support the administration, basic configuration, and maintenance of the time & attendance system and SharePoint site.
- Offer manager/employee access and training for the time and attendance system.
- Audit employee data to ensure accuracy and compliance in reporting.
- Support day-to-day payroll operations, ensuring all activities run smoothly.
- Document and maintain payroll procedures, system configuration files, and training materials related to Payroll and Time & Attendance.
- Assist with Accounting System/Payroll testing when needed.
- Support process optimization initiatives.
- Ensure payroll compliance with local and international regulations.
- Analyze processed payroll to identify areas for improvement or confirm correct calculations within the system.
- Oversee annual payroll processes, including:
- Christmas bonus payments
- Profit sharing distributions
- Annual tax calculations
- Savings fund distributions
- Manage Social Security annual processes.
- Maintain availability to attend and cross-train with teams in other countries.
- Shared services activities, update Employee records etc.
As a Payroll Specialist, You Will:
- Lead improvement projects, identifying opportunities for process enhancement.
- Adjust systems to ensure compliance with evolving benefits and regulations.
- Set priorities for payroll processes and projects.
- Manage relationships with key stakeholders, including HR and the Controlling team.
- Conduct detailed reviews and ensure thorough process documentation.
- Design strategies and templates to streamline reviews and optimize operations.
Your Skills and Expertise:
Required Qualifications:
- Bachelor’s degree from a recognized university or college. In some countries, a 2–3 year technical/vocational degree may be considered equivalent.
- 3–6 years of relevant experience in payroll operations.
- Proven experience in:
- Participating in system change projects.
- Leading continuous improvement projects.
- Automating payroll processes.
- Designing templates for enhanced payroll reviews.
- Staying updated on tax and regulatory changes relevant to the entity.
Soft Skills:
- Attention to detail with a focus on accuracy.
- Strong oral and written communication abilities.
- Experience collaborating with global teams.
- Adaptability and flexibility in response to change.
- High level of emotional intelligence.
