Your Role
We are seeking an extremely reliable individual to ensure Gensler’s payroll process is executed flawlessly and will scale with the growth of our business. This is an amazing opportunity to be a key contributor to Gensler’s Global Payroll team. This role reports into the Payroll Supervisor, NA.
The Payroll Specialist will own end to end USA payroll process including tax, statutory and journal entries. Supporting on Canadian payroll processing and payroll tax matters. You will have the opportunity to drive significant change in payroll processing for our dynamic business. Our ideal candidate needs to have the ability to work independently, plan, prioritize, think outside of the box, and have a positive attitude to embrace change is required.
What You Will Do
- Prepare and process USA and Canadian payroll in an efficient and accurate manner including meeting the required deadlines.
- Keep abreast of USA payroll related issues consistent with the local statutory and tax rules and legislation.
- Assis to manage Record of Employment, Canada.
- Support to conduct consistent audits on US and Canadian payroll, employee payroll records, employee payroll tax records and all other payroll records to ensure accuracy and compliance with both statutory and tax regulations.
- Manage US payroll processes including off-cycle paycheck, one-time payment and LOA payment.
- Manage termination checklist daily and process the final pay based on State Law.
- Support US payroll tax analysis and quarterly adjustment.
- Communicate and collaborate closely with Human Resources for all employee data and compensation related matters.
- Liaise with third party payroll vendors to ensure payroll processing accurately reflects company specific pay policies.
- Ensure appropriate documentation for operational process and procedures are in place and adhered to as part of operations.
- Maintain and update payroll system and time keeping system to keep records current and ensure the systems are communicating correctly - Canada.
- Work closely with team and supervisor on day-to-day operations.
- Manage regular preparation of relevant management reports, including weekly, monthly, quarterly, and year-end reports (gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions, etc.).
- Provide payroll orientation to new hires.
- Responsible that Certified Payroll reports are filed according to the local jurisdiction requirements.
- Support internal and external audits, domestic and international.
- Support the supervisor and manager with tasks as needed.
Your Qualifications
- Bachelor’s Degree or equivalent work experience required.
- 3+ years of relevant working experience in North America payroll or International payroll, including social benefits, tax and payroll systems, proficiency in Excel, administration and excellent in analytical reasoning skills.
- Experience and skills in payroll implementation, timekeeping reconciliation and cash recon analysis is a huge plus.
- Able to quickly adapt to new circumstances as they arise.
- Good communication skills and eagerness to learn new tools and techniques.
- Proficient in managing multiple tasks with varied deadlines, a self-starter who can keep projects moving.
- Able to read, speak and in English.
- Proficient in Microsoft Office Suite (Word, Excel).
- Working knowledge of ADP Vantage, Workday and TMF Horizon is preferred.
