At Kepler, we know our people are our most valuable asset! We’re looking for a Payroll Coordinator to join our fast-growing team. As a Payroll Coordinator, you will work with our HR, Payroll and Finance teams to act as an employee liaison and culture champion, provide support across multiple finance and payroll functions, process payroll, maintain payroll records, and more! You will need to have an innovative mindset, excellent problem-solving abilities, and strong communication skills.
What you’ll be doing:
- Coordinate all administrative aspects of the payroll function to ensure 100% accuracy and compliance in paying our employees.
- Coordinate and process payroll changes and updates within our HRIS system.
- Coordinate with the HR team to help ensure all data in our HRIS system is accurate and up to date.
- Act as a frontline point of contact for employee inquiries involving payroll and taxes.
- Ensure our database (Guru) is maintained with the most up to date payroll information
- Maintain payroll shared drives, pay date finance folders and reports.
- Maintain our tax notice tracker, and help resolve tax notices as needed.
- Generate and format employee data reports, both ad hoc and routine, in support of business needs
- Prepare first draft of payroll working files for each payroll cycle
- Review employee expenses, timesheets, and PTO data file for each payroll cycle
- Conduct routine payroll data audits.
- Support quarter end and year end reconciliations
- Act as a liaison with third-party vendors and state specific tax agencies.
What you’ll bring:
- 1-3 years of US payroll experience, preferably with a multi-state organization of 350 employees or more
- The ability to handle confidential and sensitive information with discretion
What we’d love to see:
- Familiarity with US payroll processes and deadlines
- Working knowledge of payroll systems (preferably with Paylocity and/or Paycom)
- Working knowledge of excel, google sheets and Gmail
- Familiarity with the US tax notice resolution experience
- Excellent data entry, reconciliation and math skills
- Working knowledge of US payroll legislation and updates
- Excellent attention to detail and organizational skills
- Strong verbal and written communication skills in support of our employees
- Ability to work proactively, juggle multiple priorities, and pay strong attention to detail
- A passion to learn and gain new skills
