About the team and position
We’re looking for a Senior Licensing Specialist in our Legal Department to join a unique and exciting organization. The Senior Specialist will work with our Real Estate, Compliance, Tax, Insurance, Regulatory Operations Support and Legal Teams along with various city, county and state regulators in researching, procuring, and maintaining required regulatory licenses for Carvana reconditioning, retail, auction, and distribution facilities across the country. The Senior Specialist may also support the training and support of new team members, where applicable, and help to build and maintain our team’s relationships with internal teams and customers, as well as with regulatory agencies and vendors. In the Senior Specialist role, you’ll be a key component of our efforts to identify inefficiencies, improve process, and offer ideas and solutions to age-old questions of how a fast-moving and innovative organization can operate nimbly in an industry with layers of regulatory complexity, where we strive to simplify the path forward.
What you’ll be doing
- Be a representative or spokesperson for the Licensing team in cross-functional meetings with internal stakeholders.
- Troubleshoot, problem-solve, and demonstrate critical thinking when license applications or renewals encounter roadblocks or when process improvement could create efficiencies.
- Conceive and execute process improvements within licensing and bubble-up ideas and solutions.
- Handle basic assigned tasks and adhere to timelines and deliverable expectations with minimal manager follow-up.
- Be a go-to resource for routine questions posed to the licensing team by internal departments and outside vendors.
- Independently maintain a queue of license application tasks and processes with sufficient organization and prioritization skills to identify when priorities need to shift to achieve milestones, bubbling up to manager for support as appropriate
- Assist leadership team with development of internal training materials or SOPs
- Complete licensing research projects and summaries on a variety of topics as assigned.
- Assist leadership team with the management of individual team members and team workload/workflows.
- May lead and develop direct reports as part of the leadership career path.
What you should know or have
- An Associates or Bachelor’s degree (preferred) from an accredited institution.
- A history of at least 5 years of experience in an office environment (performing a blend of administrative, research, data entry and/or processing, and issue-spotting / troubleshooting responsibilities)
- Exceptional organizational skills, attention to detail, and the ability to maintain highly detailed records.
- Outstanding communication skills with ability to build relationships with internal peers, leaders, external vendors, and state and county government personnel, including the ability to summarize project progress and recognize what information is relevant to the audience.
- Highly proactive and analytical, with an ability to identify the root cause of important issues and research/propose solutions to such issues.
- Strong deadline and task management skills.
- Ability to own and execute tasks and projects autonomously.
- Ability to perform independent research with both internal and external resources.
- Demonstrated proficiency in project management, organizational and time-management responsibilities with ability to identify specific goals (and to work collaboratively within a team to accomplish those goals).
- Competency with Microsoft Word, Excel and Adobe Acrobat, and with standard office equipment like computers, scanners, printers, etc.
We’d love it if you also have
- Experience communicating with state or municipal agencies.
- Managed business and dealer licenses or records, while also managing applications for new business and dealer licenses.
- Worked in the legal services industry or as a paralegal, researcher or licensing / regulatory specialist in automotive or related industry.
- Worked with Wrike or other similar collaborative information and project management solutions.
