Gilead currently has three shared services teams in Ireland, North America and Singapore to  support the worldwide business,. The Global Financial Solutions (GFS) focus is on delivering  innovative financial services & solutions to achieve a better, healthier world for all people.

General Job Requirements:

Reporting to the Head of GFS APAC, this position will be responsible for contributing to the Gilead’s Financial Shared Service Centre and will have primary responsibility for the successful operations and projects implementation in the GFS Centre in Singapore.

This role is crucial in providing administrative and operational support to ensure the successful execution of financial projects. The ideal candidate should be a self-motivator with strong understanding of financial processes, excellent organizational skills, and the ability to work collaboratively in a fast-paced environment. 

Position Specific Job Requirements:

  • Project Coordination: Assist in the planning, execution, and monitoring of financial projects, ensuring timelines and deliverables are met.  Collaborate closely with project managers to assist in the planning and execution of financial projects. This includes scheduling meetings, tracking project timelines, and ensuring that all tasks are completed on schedule. The specialist will also help in coordinating resources and managing project logistics to facilitate smooth operations.The projects can be local, regional or global projects.  The role is expected to participated in the project calls which may be out of office hours as required

  • Documentation Management: Maintain comprehensive project documentation, including project plans, status reports, and meeting minutes.  The specialist will be responsible for ensuring that all documentation is easily accessible to team members and stakeholders, thereby supporting transparency and accountability throughout the project lifecycle.

  • Data Analysis: Support data collection and analysis to inform project decisions and track performance metrics. The specialist will also assist in identifying trends and insights from data that can guide project adjustments and improvements.

  • Stakeholder Communication: Act as a liaison between project teams and stakeholders, ensuring effective communication regarding project status, risks, and changes. This includes preparing and distributing regular updates, facilitating stakeholder meetings, and addressing any concerns or questions that arise during the project.

  • Process Improvement: Identify and recommend opportunities for process enhancements within the financial shared services framework. The specialist will participate in brainstorming sessions and workshops aimed at improving efficiency and effectiveness, helping to implement best practices that streamline operations and reduce costs.

  • Reporting: Prepare and distribute comprehensive project reports that summarize progress, resource allocation, and financial performance. This includes creating visual presentations and dashboards that clearly communicate key metrics to management and stakeholders, enabling informed decision-making.

  • Interpersonal Skills: The ability to work effectively across multiple functions and different cultures.  Ability to establish credibility quickly and influence diverse audiences.

Knowledge, experience, competencies:

  • 8 years+ relevant experience in a multi-national environment

  • Knowledge of the Biotech or pharmaceutical industry including market regulation and compliance would serve as a distinct advantage

  • Accounting/ Finance / Business degree or MBA

  • ACA/ACCA/CPA qualification is required - Big 4 or similar practice accounting background a distinct advantage

  • Strong knowledge of US GAAP, IFRS accounting principles and practices

  • Experience in interacting with external and internal auditors along with detailed knowledge and experience of SOX Compliance

  • Working knowledge and experience of Oracle and SAP or similar ERP product

  • Proficiency with Microsoft tools (Outlook, PPT and Word), Advanced Excel level required.

  • Self-starter and able to act on own initiative

  • Self-driven with high levels of integrity, excellence and teamwork.

  • Excellent problem solving skills and ability to be detail oriented

  • Capable of managing multiple priorities simultaneously, working under pressure and to meet strict reporting deadlines

  • Excellent communication and interpersonal skills (oral, written, presentational);

  • Experience in managing complex cross functional / regional projects

  • Demonstrates team work and collaborate approach to work

  • Able to communicate openly and across different functions, levels and regions

  • Ability to work under pressure and tight timeline.  Able to work with a flexible hour to attend meetings / calls outside normal Asia office hours

  • Ability to travel

  • Fluency in both written and spoken English & Mandarin a must, knowledge of Japanese/Korean is a plus
