What we’re looking for:

  • Fluency in French (C1 level) and good level of English;
  • 2-3 years experience as a HR Assistant or administrative role;
  • A good team worker and customer-oriented approach;:
  • Problem solving skills;
  • Strong knowledge of Microsoft Office package.

HR Advisor responsibilities:

Campaign preparation:

  • Attend the launch meeting in Central.
  • Validate the list of company/site correspondents in Orkesta.
  • Identify list of Relais Bib Action & Relais communication.
  • Update Relais Bib Action list in Orkesta.
  • Integrate newcomers.
  • Animate Society / Site Correspondents (CSS), train and provide support.

Communication:

  • Develop communication kit.
  • Adapt communication kit to country.
  • Assemble and deliver Relais Bib Action (RB) communication kits.
  • Provide support and answer various questions from Relais Bib Action and employees.

Carrying out the formalities required by law:

  • Consult the Comité social entreprise (CSE).
  • Transmit the Plan de Economii Grup / Plan d'Epargne Group (PEG) forms to the Country Correspondents (CP) for the Regional Directorate for the Economy, Employment, Labor and Solidarity / Direction régionale de l'économie, de l'emploi, du travail et des solidarités (DREETS).
  • Collect all PEG documentation for DREETS (submission of viability plan - 3 documents - in Orkesta).
  • Manage the legal deposit DREETS .
  • Establish and send the list of eligible persons to the Country Correspondent (CP).
  • Consult different companies to induce them to sign the PEG (ensure membership).
  • Create eligible persons.
  • Verify and consolidate the list of eligible persons for introduction in Akkalia.

Campaign opening/subscriptions:

  • Grant access to the computer systems of the Country Correspondents (CP), Society/Site Correspondents (CSS), Relais BibAction (RB).
  • Test country-wide IT systems.

Accounting for subscriptions:

  • Check and validate subscriptions for all societies.
  • Forward information to societies for accounting (employer contributions) and payroll purposes.
  • Process claims in payroll system or forward to payroll department + track claims in payroll system.
  • Consolidate the information and send the subscription file to the Company/Site Correspondent (CSS), specifying the amount to be paid to the CFM (capital).

Allocation of shares to employees:

  • Send allocation letters sent to employees (informing them of the date and amount of the allocation).
  • Receive the allocation letters.

Way of working and organization within the team:

  • Report specific problems, identified in the administration process.
  • Propose and implements process improvements and, if necessary, requests support and validation from perimeter partners.
  • Participate in the definition of new rules and processes.
  • Manage and makes available the results of performance and quality indicators defined with the parties.
  • Provide back-up and punctual support in team activities related to the responsibilities of the position.
  • At the request of the hierarchical superior, also performs other tasks, which are directly related to the main responsibilities detailed above.
