Role Purpose:

The Executive Assistant will provide high quality and dedicated support to the Group Chief Claims Officer. The Executive requires efficient and responsive support to ensure the smooth running of their day-to-day role. The Executive Assistant may be occasionally asked to provide wider assistance to other members of their department.

Key Accountabilities:

  • Extensive calendar and travel management, including:

    • Maintain and manage a busy calendar, ensuring that time is effectively planned, there are no scheduling conflicts and considering current priorities and the need for focus time.

    • Planning and organizing meetings, both internally and externally

    • Organizing travel and preparing complex international travel itineraries, incl. compiling of travel packs to include; itineraries, hotel bookings, visas, contact details and boarding passes where appropriate.

  • Inbox management - monitoring emails to ensure appropriate and timely responses are given. Maintaining filing/storage of messages and flagging urgent requests.

  • Preparation for meetings and administrative support including:

    • Preparing & reviewing papers and packs for meetings.

    • Preparing & reviewing PowerPoint presentations.

    • Full coordination of meeting scheduling and cycles ensuring preparation time for meetings; creation of meeting agenda’s; taking minutes at meetings; making sure action points are followed up on in a timely fashion.

    • Planning and organizing events for the Claims teams (team off-sites/social events). Teams are currently located across multiple locations.

  • Fully responsible for preparation and submission of expense claims using the Expense Management system (Concur) and reviewing team expense claims.

  • Management of holiday requests, ensuring the Executive is aware of requests and no key person dependencies overlap.

  • Ensure the Executive is up to date with any training requirements/CPD/PeopleSoft/Workday requests.

  • Managing reporting deadlines and collating executive reports.

  • Co-ordinating communications within the Claims function, including Townhalls and updates.

  • Assistance with the onboarding of new team members when required.

  • Answering calls when required and liaising with clients and business partners.

  • Partner with Existing EA’s & PA’s, both UK and US based to ensure urgent requests are accommodated and support with other miscellaneous tasks.

  • Personal support when needed to incl. arranging ad-hoc appointments, meetings and personal travel.

Skills & experience

  • Experience working as a executive assistant within a corporate organization, Insurance/Financial Services is preferred.

  • Confident in arranging meetings across multiple time zones and worldwide locations.

  • Experience of arranging international travel/itineraries

  • Ability to liaise at all levels on a global scale, with strong relationship building skills and the ability to install trust.

  • Strong organizational skills and attention to detail

  • Judgement & decision-making skills — ability to use logic rationality and objectivity in decision making.

  • Discreet and confident.

  • Good sense of prioritization.

  • Logical and resourceful.

  • Ability to manage pressure and conflicting demands.

  • Must be able to work independently and be one step ahead.

  • Good IT skills, proficiency in Microsoft Word, Teams, PowerPoint, Excel and Adobe Acrobat.
