The Opportunity
We are looking for an experienced Executive Assistant to support the Executive Vice-President and President, Power and Energy Solutions and the Executive Vice-President and General Counsel.
The ideal candidate has knowledge and experience in complex and confidential administrative tasks and assignments requiring a high level of professionalism, sense of urgency and strong attention to detail. This individual has the proven skills, competencies and capacity to engage with internal and external stakeholders and apply judgment in a deadline-driven environment with shifting priorities.
What you’ll do
- Demonstrate autonomy and judgment in coordinating priorities and meetings, managing schedules, booking appointments and business travel arrangements;
- Proactively anticipate needs and prepare solutions before issues arise
- Execute various processes for department, including organization and position management, utilizing Workday and SAP software suites for requests and information management, as well as department moves and office planning
- Complete timesheets and expense reports as required
- Handle sensitive and confidential information in a timely, trustworthy and professional manner
- Manage information and reports including electronic filing, as well as maintain critical filing systems, contacts and databases
- Act as the primary point of contact and build valuable relationships with key internal/external parties
- Maintain contacts and schedules for external Board commitments.
- Plan and organize large-scale events as required for the department
- Track and follow up on action items, invitations, correspondence and documents for signature
- Develop relationships and work collaboratively on tasks and deliverables with leaders and administrative staff in Canada, US and Mexico
- Develop competency with departmental-specific systems and applications where applicable
- Other tasks as required
Minimum Qualifications
- A minimum of ten (10+) years of related work experience with increasing levels of responsibility
- High school diploma or post-secondary certification in administration from a recognized institution
- Demonstrated experience supporting senior executives in a fast paced, dynamic environment
- High degree of professionalism, excellent communication skills, and the ability to maintain confidentiality
- Understand business priorities and proactively anticipate needs
- Sound judgment and the ability to work independently with little direction
- Proven organizational, planning, prioritization, scheduling and time management skills
- Ability to work and communicate comfortably and effectively at all levels of the organization
- Possess tact and diplomacy while working positively with others
- Strong attention to detail and accuracy, resourceful, able to solve problems and find solutions to meet department needs
- Proficient in the use of MS Office (Teams, PowerPoint, Excel and Word).
- Ability to represent TC Energy effectively to external parties
- Proven interpersonal skills
- Excellent written, proof reading and editing skills
- Proactive, takes initiative, and is creative at identifying process improvement opportunities
Preferred Qualifications
- Bachelor's degree from an accredited college or university
- Experience in a publicly traded organization
- Energetic individual who is a self-starter, has a willingness to help the team and an ability to learn and adapt quickly
- Ability to use unconventional approaches to solve problems when standard approaches are not effective
- Takes pride and keenly cares about quality of work
